Clerk - DPW - Public Utilities Department: DPW - Public Utilities Employment Status: UFCW Admin, Non-Exempt, Full-Time (40 Hours/Week) Salary: Grade A02, Step 01, \$18.52/Hour Schedule: Mon-Thu - 8:00AM-5:00PM, Fri - 7:00AM-3:30PM Certifications/Licenses Required: MA Class D Driver?s License SUMMARY The City of Chicopee\'s Department of Public Works / Public Utilities Department is hiring a Clerk. This position performs general clerical duties according to standard office procedures. The clerk verifies the accuracy of invoices, prepares and enters payroll data, enters lab results, and budget information. The clerk composes and types reports and letters, updates and maintains computer records and files, prepares work orders, work order data entry, as well as fixed asset management and reports. The clerk must also possess an understanding of the City\'s utility billing system in order to assist customers. The clerk acts as a receptionist and answers the telephone and dispatches personnel for various duties. The clerk is also responsible for the sorting and distributing of mail. Occasional overtime may be required. ESSENTIAL DUTIES INCLUDE: Processes bills, purchase orders and requisitions in the City\'s MUNIS software program. Enters, updates, and maintains departmental computer files containing industrial laboratory results and other information such as treatment plant data, budget information and personnel records. Enters work orders and dispatches personnel for sewer backups and related sewer issues throughout the City. Research account information to address questions and concerns regarding sewer and storm accounts and bills. Answers miscellaneous questions and addresses complaints from the public on the phone and in person. Types reports, correspondence, spreadsheets etc. utilizing a working knowledge of Microsoft Office programs such as Word, Excel and Access. Acts as the receptionist taking phone calls, directing walk-in vendors/customers and handling inquiries. Sorts and distributes incoming mail to the WPC Facility. Performs data entry and filing of documents, correspondence and invoices. Updating and maintaining files in the Access data base. Operates adding machines, calculators, computers (using Microsoft Office products) as well as knowledge and use of MUNIS for this work. Performs clerical duties according to standard office procedures requiring a high degree of accuracy and knowledge of the functions of the DPW-Public Utilities operations. Maintains a professional and courteous demeanor when dealing with the public on the phone or in person. Maintains effective relationships with employees, city officials, residents, public and private agencies. Runs City errands including delivery and pick up of correspondence, purchase orders, warrants etc. to and from other City Departments and the Post Office. All other related tasks as assigned by the DPW Superintendent or their designee. Abides by City of Chicopee Health and Safety policies and procedures. Other duties may be assigned. QUALIFICATIONS MA Class D Driver\'s License - Required Proficient in the use of Microsoft Office Software (i.e. Windows, Excel, Outlook). Working knowledge of MUNIS. Demonstrated customer service abilities related to Public Works and Utility Billing. High school diploma or general education degree (GED) with 2 years related experience and/or training; or equivalent combination of education and experience.
