Administrative Clerk-Part Time 19 hour Union: UPSEU-Clerical - Part Time -Non-Benefit: approximately 19 hours per week Hourly Range: Grade B: \$21.1238- \$27.7171 Position Summary: Professional work involving a variety of clerical duties including; recording, balancing, tax collection, answering inquires and reconciling. Responsible for preparing reports, statements, gathering and compiling data. Education, Skills & Experience: High School diploma or equivalent, in clerical and business courses strongly preferred, and with 1-3 years of related experience preferably in a municipal setting. In addition to education and experience, this position requires excellent customer service, interpersonal and communication skills to solve tax payers concerns and issues in a timely matter; an ability to organize and prioritize workload and to work effectively in a busy organizational environment. Demonstrated experience in the use of computers and experience in Microsoft Office products, office software applications including spreadsheet applications and Google suite. Experience with MUNIS Software System and knowledge of Massachusetts General Laws a plus. Ability to communicate effectively in written and oral form to respond to questions from managers, co-workers and the general public. Strong interpersonal skills requiring courtesy, diplomacy and tact is essential. Math abilities needed to calculate figures and amounts such as taxes and interest. Ability to interpret a variety of instructions furnished in written, oral, or schedule form. Ability to read and transcribe written and numerical data rapidly and accurately. Ability to type accurately, use electronic calculators and attention to detail is a must. Provide support to the Collector/Treasurer and administrative support to the Collector / Treasurer staff Assist with daily posting and reconciliation of money received Provide customer service to residents on the phone, by email, in person and by other appropriate means Provide clerical support for special projects Verify, sort and mail weekly warrant checks, while working closely with Accounting Office Perform similar or related work as required Supervision Received/Exercised: Employee works directly under the Collector/Treasurer and works closely with the Assistant Collector and Assistant Treasurer for guidance on procedures and processes. Supervisory Responsibilities: None Job Environment: Work is performed under busy office conditions with many interruptions during the day from other departments and the general public; work environment is moderately noisy. Performs duties in accordance with state laws and town municipal policies, laws, regulations and objectives. Operates computers and software systems including MUNIS (the municipal financial system); operates standard office equipment and uses software programs in a proficient and effective manner. Contact: Position has regular contact with the public, other town departments and many other local businesses. Contacts with the public requires a patience, tact, understanding and courtesy; contacts are in person, by telephone and in writing. Communication is by means of telephone, personal discussion, and correspondence; contacts are for the purpose of explaining policies/procedures, providing departmental information and conducting Town business.
