Gold Medal Bakery Office Assistant in FALL RIVER, Massachusetts

RESPONSIBILITIES AND ESSENTIAL TASKS Maintains a variety of records in an orderly fashion, ensuring accurate and complete files (electronic and/or physical) in a discreet manner. Answers and transfers phone calls, screening when necessary. Obtains and opens USPS and electronic mail and makes necessary follow-up to distribute, and takes action as required. Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data and/or follows-up when needed. Responds to and resolves administrative inquiries and questions. Schedules appointments, prepares and sets up for meetings, prepares agenda, coordinates visitors? schedules, etc. Welcomes and directs visitors and clients. Generates weekly employee work and PTO schedules, obtains approval of such schedules, and posts as appropriate. Files documents as required. Produces and distributes forms, letters, notices, and memos. Operates various office equipment such as an adding machine, calculator, personal computer/printer, fax machine and copy machine. Troubleshoots office equipment problems when necessary. Always operates according to company core values of caring, commitment, and integrity. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED Preparation and Training Two (2) or more years of office experience is required to meet job standards for quality and quantity. A minimum of 3 years in a similar role is preferred. Manufacturing or commercial bakery experience is helpful. Associates Degree is preferred in order to read, write and communicate, and to perform calculations, prepare reports, keep records and deal effectively with other people, or equivalent combination of work experience and education. Skills and Abilities Highest degree of confidentiality and discretion is required. Good verbal and written communication skills. Excellent interpersonal and customer service skills. Must be able to type a minimum of 30 words per minute. Proficient in Microsoft Office Suite, particularly, Outlook and Excel. Excellent organizational skills and attention to detail. Good understanding of clerical procedures and systems such as recordkeeping and filing. Ability to work independently and as part of a team. Some analytical ability is required in order to gather, organize and interpret data. Analysis work done requires ability to proof, read and detect errors. Must have stellar customer service skills, and be reliable.
