People Incorporated Pre-School Residential Administrative Assistant in Fall River, Massachusetts

The Residential Team is looking for a dynamic Administrative Assistant to join the team. The Administrative Assistant provides administrative, clerical, and communications support to the Residential Division. The Residential Administrative Assistant upholds focus on premier services by providing oversight and making improvements in efficiency and effectiveness. Responsibilities: ? Responsible for the Residential front office/reception area including operating multi telephone lines, office equipment systems, supplies and distribution of office mail. Responsible for mass mailings to parents and guardians of our individuals and survey mailings to our individuals at our sites. Assist program/division staff with employee scheduling and attendance records. Assist with daily on-call staffing and update all reports and systems accordingly. Assist with Food Stamp (DTA) communications, scanning/emailing documents, and filing when needed. Responsible for monitoring budgetary related tasks, including but not limited to food receipts, ticket sales, Pex card, petty cash, Walmart cards, and Amazon etc. Responsible for reporting to appropriate party?s information pertaining to programmatic changes, include but not limited to transportation report, BOX notes, and residential listings. Produce reports to surmise aggregate data on incident reports, individual care, attendance, Medication Occurrence reports (MOR?s), hospitalizations and other areas of importance. Monitor the Home and Community Services Information System (HCSIS) activity to ensure compliance with all dates, subject material, and follow up required. Maintain centralized electronic and paper files for program/division such as keys, visitor logs, etc. Produce correspondence, reports, forms, and other materials using Microsoft Word, Excel or other software. Assist with approving work orders for all our sites including notifications as required. Assist with Medication Administration Program (MAP) applications, submissions, and mailings. Responsible for department meeting minutes and distribution. Maintain confidential records and files as applicable. Attend trainings, seminars, meetings and professional development as required. Acccess and read Agency email account and Intranet at least weekly. Requirements: High school diploma or equivalent plus one year office experience or equivalent combination of education and experience. 1 year of Residential experience Proficient in Microsoft Office Suite Ability to prioritize, organize, working independently, and focus on changing demands Have excellent written and verbal communication skills and exceptional interpersonal skills Ability to present in a professional manner at all times A valid driver?s license is required, as well as a qualifying criminal background check Must have reliable means of transportation, and have great customer service skills. Work week-Monday Through Friday
