South Middlesex Opportunity Council Administrative Generalist, Rental Assistance in Framingham, Massachusetts

SUMMARY

The Program Administrative Generalist assists in day-to-day program operations, online income verification, client file maintenance, supplemental data entry support and paperwork processing for 2000 state and federal vouchers.

  • PRIMARY RESPONSIBILITIES

  • Carry out online income verification processes utilizing Enterprise Income Verification (EIV), The Work Number, State Supplemental Program Log, and Department of Transitional Assistance Centralized Eligibility and Processing (CEP).

  • Arrange EIV, Work Number, and DTA CEP reports by Program Representative and distribute as needed and requested.

  • Coordinate with Program Representatives to process all third-party requests needed including employment, childcare, non-wage sources, unemployment, and child support.

  • Prepare purged files in accordance with File Protocol procedures to send to storage for all Rental Assistance prior reexaminations.

  • Coordinate with RAP Program Representatives to ensure accurate data entry of HUD required supplemental information including emergency contacts and language preferences.

  • Compile monthly report in preparation for reexamination appointment mailing.

  • Handle the entire purge process- from monitoring requests, researching scan documents, locating missing documents once purged files are obtained, managing requests lists, and communicating all results back to the appropriate staff members.

  • Point person to file all documents in the Rental Assistance Department

  • Act as backup to the Administrative Assistant as needed (including but not limited to answering calls, engaging walk-ins, taking voicemails, processing daily incoming and outgoing mail, and scanning documents).

  • Facilitate and manage ordering of office supplies, maintain inventory.

  • Manage coordination of incoming reasonable accommodation requests, including communication with tenants and 3rd parties manage timeline and log

  • Support all Rental Assistance staff on special projects and as needed.

  • Assist with all tenant file conversions to 6-tab filling system.

  • Engage all clients by understanding and addressing their needs whether within or outside the scope of work.

  • Attend & participate in engagement team meetings as requested and communicate effectively with clients and staff in other areas.

  • Maintain confidentiality of client, employee and agency information in accordance with federal and state laws and funder requirements.

  • Ensure compliance with program/department, agency and/or funder requirements, as well as SMOC policies & procedures.

  • Other duties as assigned.

  • KNOWLEDGE AND SKILL REQUIREMENTS

  • High School Diploma or equivalent

  • Minimum years of related experience: 1-2 years preferred.

  • Knowledge of Excel, Windows, and Word

  • Sensitivity to the needs of economically disadvantaged clientele

  • Knowledge of Federal Section 8 and State MRVP/ AHVP programs

  • Ability to work well in a very high volume and productivity environment.

  • Strong verbal and written communication skills

  • Experience with adhering to confidentiality requirements.

  • Ability to work within a team.

  • Mobility to use office machines, sitting, standing, ability to lift archive boxes filled with files.

  • ORGANIZATIONAL RELATIONSHIP

  • Directly reports to Program Rep. Supervisor.

  • Indirectly reports to Program Director.

  • PHYSICAL REQUIREMENTS

  • Ability to communicate via telephone and email.

  • Ability to lift up to 30 lbs.

    WORKING CONDITIONS

    As part of the responsibilities of this position, the Rental Assistance Program Generalist will have direct or incidental contact with clients served by SMOC in various programs funded or administered through the Executive Office of Health and Human Services. A successful background check is required.
