Bear Mountain Health Care Scheduler in Franklin, Massachusetts

The Scheduling Coordinator will be responsible for maintaining the schedule, completing attendance reconciliation and reporting.

Must have scheduling experience in Healthcare environment!!

Must be able to multi-task

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepares staffing schedule and updates same as necessary

  • Determine a two-week rotation an employee will be working within the master schedules

  • Enter in Smartlinx schedule planner

  • Enters daily missed punches to update PPD report by 10 am

  • System Deviations(missed punch sheets) are collected from supervisor

  • The times are logged in ADP in the timecard

  • Prepare and distributes and updates daily breakdown of staffing by units

  • Print daily staffing sheets from

  • Update as needed for PTO, switches and call –outs

  • Distributes to units

  • Inputs schedule and manage time and edits.

  • Receives, maintains and processes PTO requests

  • Check accrued vacation hours to ensure that staff have adequate time to cover request off

  • Verify how many employees are currently schedule for PTO

  • Have DNS approve or deny

  • Enter PTO in schedule planner

  • Return copy to employee, maintain original for payroll

  • Tracks attendance based on matrix

  • Review daily staffing sheets to identify call-outs

  • Log call –outs

  • Alert Human Resources once an employee has had 4 call outs

  • Work with Human Resources Generalist on tracking in accordance with attendance policy

  • Responsible for the scheduling of all nursing staff while maintaining a safe staff to patient ratio

  • Work with DNS to schedule to facility census levels

  • Attends new hire orientation training for scheduling component

  • Responsible for identifying variances within budgeted PPD

  • Communicating and coordinating with HR and DNS regarding open schedules

  • Attend weekly staffing meeting and discussion on open positions, LOA, PTO

  • Reporting of Department of Health staffing numbers

  • How many licensed staff times the numbers of hours they work (8 hours)

  • How many unlicensed staff times the numbers of hours they work ( 7.5 hours)o Previous days census

  • Review and distribution daily and weekly missed punch reports

  • Prepares documentation for supervisors related to shift deviations

  • Complete system deviations or prepare list for supervisor

  • Support central supply with the collection of unit par-level sheets.

  • Assemble weekly order for unit manager pick up.

  • Submit via eamil weekly stock room replenishment order.

  • Applies C.A.R.E customer service approach in all aspects of job.

  • Actively supports commitment to providing C.A.R.E service on all quality objectives, with an emphasis on continual improvement.

  • Adheres to all company policies, procedures, and standards of conduct.

  • Reports to the appropriate managers any known or suspected violations of policy and procedures, regulations or standards of conduct.

  • Performs additional duties as assigned.

  • Make transportation appt. for resident appointments.
