Outer Cape Health Services Payroll Specialist in Harwich Port, Massachusetts

Reporting directly to the Controller, the Payroll Specialist will work closely with both OCHS? Finance & Human Resources Departments to ensure that payroll is processed in a timely, efficient & accurate manner. The Payroll Specialist is the subject matter expert for the payroll & expense reimbursement system, currently Paycom, & provides proactive training to employees & serves as the main point of contact for researching & answering payroll-related questions. In addition, the Payroll Specialist is responsible for journal entries, producing payroll reports & end of year documents (e.g. W-2s & 1099s) for multiple stakeholders including internal leadership, regulatory bodies, auditors, employees & contractors. Essential Functions: Verify approved timesheets for accuracy. Effectively & efficiently coordinate & collaborate with Human Resources to ensure HR has entered any necessary changes into the payroll system such as onboarding & offboarding employees, changes in supervisor, changes in pay rate &/or pay type. Process payroll. Download & post the journey entry for payroll. Monitor time off balances of employees (e.g. vacation & sick time) to ensure accruals are accurate & employees are not in the negative. Be the main point of contact for answering payroll-related questions. Responsible for researching & resolving payroll-related issues. Process other financial compensations or deductions (e.g. bonuses, severance pay, taxes, garnishments, benefit expenses (e.g. insurances, paid leave), etc.) Responsible for 403B processing. Responsible for payroll reporting & audit needs including external reports (e.g. Federal & State payroll tax reports) & internal reports (e.g. for leadership). Collaborate with HR to assist in training materials/efforts for new employees & for new processes or policies related to payroll &/or employees managing timecards in the payroll system. Assist in the preparation of regulatory reports (e.g. tax returns, UDS, UFR & cost reports). Prepare information for external auditors & workers compensation auditors. Oversee processing of payroll & system upgrades. Ensure compliance with relevant laws & internal policies. Responsible for coordination with payroll company for quarterly & year-end state & federal tax reporting. Verify the accurate & timely distribution & submission of all year-end payroll reports including W-2s. Support the expense reimbursement module in the payroll system (including reimbursement for expenses & CME). Efforts could include working with HR to help support training materials/efforts for new employees & related to new expense reimbursement processes or policies. Qualifications Associates degree required, Bachelor?s degree preferred, in Accounting or related field. Minimum of 2 years of experience handling payroll processing & reporting functions. Experience in a healthcare setting a plus. Experience with Paycom a plus. Proficiency in computer skills including the Microsoft Office suite (particularly Outlook, Excel, Word & Teams). Excellent oral & written communication skills. Excellent attention to detail including with mathematical calculations. Excellent judgment & ability to solve problems in a timely manner. Demonstrated ability to stay organized & appropriately escalate concerns in a constructive manner. Demonstrated ability to work effectively both as a team member & independently.
