Holyoke Community College Clerk IV-Student Engagment in Holyoke, Massachusetts

Clerk IV - Student Engagement Under the direct supervision of the Assistant Vice President of Student Affairs and general oversight of the Coordinator of Student Activities, the Clerk IV provides administrative and clerical support for the Student Engagement office, including Student Clubs, Student Organizations, and Student Senate. 1.) Serves as receptionist for the Student Activities/Student Senate department, answers telephone, greets and refers current and prospective students and other office visitors. Assists walk-in students and staff with general college information, referrals to appropriate student service/enrollment offices, and other student services as needed. 2.)Creates, maintains, and disseminates Campus Week at a Glance online publication. 3.)Develops, creates, and disseminates publicity posters, informational flyers, electronic messaging/screen slides, and meeting notifications for Student Activities. 4.) In collaboration with the Coordinator of Student Activities, develops and manages the Campus Events and Activities calendar. 5.) Assists with the set-up, take down, and facilitation of campus events and activities. 6.) Processes HCC ID cards and maintains the ID card system 7.) Responsible for creating contracts, purchase orders, travel requests, and other logistics needed for services to Student Activities/Student Senate from outside vendors, including entertainers, speakers, special equipment vendors, and media. 8.) Assists Coordinator with tracking budget expenditures for department budgets as requested and assists with budget transfers as needed. Establishes and maintains a filing system for encumbrances, purchase orders, invoices, receipts, and reimbursements in accordance with the HCC administrative policies and procedures. 9.) Collects, secures, records, and deposits student fees for all special events such as ticket sales, fundraisers, donation boxes, and trips. 10.) Assists with maintaining, updating, organizing, and distributing all college club information. Responds to clubs@hcc.edu emails. 11.) Compiles statistical information to be included in reports of service activities. 12.) Composes correspondence for routine letters, memos and emails such as requests for information regarding the program services, schedule of events, confirmation of meetings etc. 13.) Responsible for requesting room reservations for campus events and approving room reservations for the Campus Center through CourseDog. 14.) Maintains the office supplies and equipment inventory, arranges for maintenance and repair of all office equipment, scheduling office coverage and security for equipment and special event supplies. Salary: \$1,803.41/Biweekly
