Gandara Center Generalist Administrator in Holyoke, Massachusetts

At Gandara Center, the Community Service Agency/Children's Behavioral Health Initiative [CSA/CBHI] division is focused on supporting families who have youth and adolescents with Mental Health challenges. The qualified and resourceful Generalist Administrator we're looking for will support our CSA/CBHI division (Western/Central Massachusetts region) and ensure smooth and efficient business operations. The Hourly Generalist Administrator will have both administrative and strategic responsibilities, helping us to plan and administer important functions, such as data entry/tracking, training, marketing, and productivity reporting. Job Responsibilities: (include but are not limited to) Data Entry Statewide Write-Offs - Weekly Tracking Record, Track, Follow Up Investigation of write-offs; assuring investigations are completed by supervisors Obtaining and distributing Warning Reports consistently Obtaining, distributing, and tracking Error/ Unsigned Note Report Collecting, tracking, and reporting Productivity numbers every week for each department in the Western and Central region. Trackers and Reporting Proficiency Eligibility Checks, when filling in for the Billing Administrator Tier Status Tracking and distribution to Program Directors every month Generate and report Over Productivity list for Western and Central region Attending and participating in Administrator Billing weekly meetings. Management Training Program Creating/assigning user accounts and courses Deactivating user Uploading Training/ Videos Running Reports/ Assuring Compliance Creating quizzes and confirmation for staff when completing training/ review of policies Management of Grammarly computer program Creating/assigning user accounts Deactivating user accounts Onboarding of New Staff: Assignment/Tracking of Training Program, Grammarly, and any other electronic programs/equipment (i.e., cell phones and laptops) Human Resource (HR) liaison Tracking and reporting MCE required training, agency training, and any other pieces of training to HR Marketing: Contacting referral sources from waitlist when immediate openings are available Informing admin about waitlist status or need for referrals via email Scheduling Presentations for admin to generate referrals All Staff Meeting Sign in Tracking Creation and Development of Annual Training Tracker Maintenance of Policy Binders MSDS Datasheets WFI Compliance Calls Providing training, coverage, and support to Support Staff (i.e., Intake Coordinator, Billing, receptionist, etc.) Participate with the Supervisor every week to discuss tasks, progress, and updates. Participate in monthly department meetings. Performs other related duties and responsibility as assigned by Supervisory Staff Required Skills Job Qualifications: Associate's degree in Human Services; Bachelor's Degree Preferred At least 2 years experience in Human Services Bilingual skills in Spanish-English required Advance knowledge of Microsoft Office and comfortable learning new technology systems as needed Flexibility to work shifts, including evenings, as required Ability to organize, prioritize and meet deadlines Positive attitude, good work ethic, and cultural awareness Natural interpersonal and communication skills Must be team-oriented Must have a valid driver license Must be willing to travel statewide Benefits: Retirement Plan 403(b) Health, Dental, Vision, and Life Insurance Paid vacations 11 paid holidays 8 discretionary days a year Discounts offered to your Cell Phone Provider Plan
