Robert Half Part-Time Office Manager in Holyoke, Massachusetts

Description

We are offering an opportunity for an experienced Office Manager to become a part of our team in the Information Technology sector based in Holyoke, Massachusetts. In this role, you will be expected to manage a range of administrative tasks, including the management and processing of customer credit applications and inquiries, as well as the maintenance of customer credit records. This role offers a long-term contract employment opportunity: Workdays/ hours: 20-25 hours per week, T, W, Thurs (Flexible) 8am-2pm

Responsibilities:

• Efficiently manage and process customer credit applications

• Maintain and update customer credit records accurately

• Manage and organize events and gatherings relevant to the role

• Effectively administer HR-related tasks, including managing job postings and interview setups

• Oversee the design and deployment of an annual trade show booth

• Maintain and manage facility access lists, ensuring regular reviews

• Administer and review vendor contracts, working closely with the executive team to resolve any issues

• Handle customer and vendor contract administration, ensuring follow-ups when issues arise

• Manage mailing lists and Dropbox access

• Provide support for scheduling and meetings, including the organization and approval of meeting packages and minutes.

Requirements • Proficiency in Accounting Software Systems

• Familiarity with ADP - Financial Services

• Experience with Concur is a plus

• CRM knowledge and experience

• Dentrix Dental Software skills are desirable

• Proficiency in About Time software

• Expertise in Accounting Functions

• Experience with Accounts Payable (AP) and Accounts Receivable (AR)

• Ability to handle Answering Inbound Calls effectively

• Must be able to work in a fast-paced environment

• Excellent communication and interpersonal skills

• Strong organizational and time-management abilities

• Ability to work independently and as part of a team

• High level of discretion and confidentiality

• Proven experience as an Office Manager in the Information Technology industry

• Demonstrated leadership skills

• Knowledge of office administrator responsibilities, systems, and procedures

• Familiarity with email scheduling tools

• Attention to detail and problem-solving skills.
