Eliot Community Human Services Administrative Support Specialist Prevention Services in Lawrence, Massachusetts

Description

MSPCC, a division of Eliot, is seeking a part time Administrative Support Specialist to assist a team of professionals who work in a prevention model with families & young children. A year or more of supervisory experience & an ability to establish trusting relationships through compassion, empathy & insight. Bilingual Spanish preferred.

Healthy Families is a nationally accredited with evidence-based, home visiting, parenting education programs that support young, first-time parents to create stable, nurturing environments for their children. HF is focused on building & promoting protective factors in families. Efforts include supporting positive, effective parenting skills, fostering health, growth & development in infancy & early childhood, promoting educational attainment, job & life skills, reducing repeat pregnancies & promoting parental health & wellness.

Responsibilities:

  • Provide receptionist and administrative support; faxing, photocopying, mail, scanning, filing, phone, visits, etc.

  • Maintain active participant paper files, open new cases and discharge closed files

  • Maintain accurate and updated client database and electronic medical record.

  • Archive discharged files in accordance with established retirement schedule or legal requirements.

  • In collaboration with Human Resources, maintain staff personnel records

  • Ensure each staff has a current CORI and DCF background check on file. Process all background and reference checks as needed.

  • Maintain staff training records and register staff for needed trainings.

  • In collaboration with Regional Director, monitor program spending and complete monthly Visa card reconciliation with Accounts Payable.

    Qualifications:

  • High School diploma with demonstrated administrative and reception experience.

  • Familiarity with electronic medical records.

  • Strong interpersonal, communication and organizational skills.

  • Ability to work independently and as part of a team.

  • Demonstrated sensitivity to the needs of families from diverse cultural and linguistic backgrounds. requirements.

  • Demonstrate sound judgment and effective, solution focused, problem solving skills.

Schedule: Monday - Friday - Part Time - 20 hrs
