Fresenius Medical Care North America IT Project Coordinator (Hybrid) in Lexington, Massachusetts
Purpose and Scope:
This hybrid role combines project coordination, communication and executive support, focusing on special projects and high-level administrative tasks. The ideal candidate will be a highly organized and detail-oriented individual with a strong ability to multitask and prioritize. The role will involve managing special projects, providing support to executive leadership such as travel and schedule coordination, and coordinating cross-functional teams. This role also includes assisting in organizational-wide communications and supporting project change management and communication.
Principal Duties and Responsibilities
Project Coordination:
Assist in the monitoring of projects
Support tracking of project timelines, milestones, and deliverables
Coordinate with Chief of Staff and Project Leads to ensure project success
Utilize project management tools to track and report out progress
Support the development of long-term strategic project plans
Communication:
Assist in writing of organizational communications
Support project communication efforts
Support major project change management documentation and coordination
Develop and maintain all organizational charts
Executive Support:
Provide high-level administrative support to executive leadership team
Manage complex calendars (in outlook), schedule meetings, and coordinate travel arrangements
Prepare and edit correspondence
Handle confidential information with discretion
Coordinate and manage logistics for on-site meetings, off-site meetings, conferences, and events
Support Chief of Staff in creation and distribution of presentations and agendas for Extended Leadership team
Assist with special projects and ad-hoc requests
Qualifications
Bachelor's degree in Business Administration, English, Communications or a related field preferred
1-3 years of experience in project coordination or administrative support or equivalent experience
Excellent executive communication skills
Superior organizational and time management skills: Ability to prioritize tasks, manage time effectively, and maintain a well-organized workspace.
Excellent written and verbal communication skills: Strong written and verbal communication skills to interact with diverse stakeholders, including executives, technical staff, and external clients.
Discretion and Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to work independently and as part of a team
Detail-oriented and able to multitask: Meticulous attention to detail to ensure accuracy in all tasks and documents.
Familiarity with collaboration tools such as Teams for effective communication.
Strong problem-solving and decision-making skills
Ability to adapt to changing priorities and deadlines
Desired Skills
Knowledge/proficiency of project management software (e.g. Trello, Microsoft Project) to assist with tracking and organizing tasks
Basic knowledge of Information Technology organizations and tools
Problem-Solving Skills: Ability to identify and resolve issues proactively.
Interpersonal Skills: Strong interpersonal skills to build and maintain positive relationships with team members and external stakeholders.
Initiative: Proactive approach to tasks and identifying opportunities for improvement.
Technical Writing: Ability to write clear and concise technical documents, such as meeting minutes, reports, and presentations.
