Job Overview

This position is responsible for executing engagement initiatives, including programs and communications, in support of Tufts Medicine, including Tufts Medical Center, Lowell General Hospital, MelroseWakefield Healthcare, and Tufts Medicine Care at Home. Works collaboratively to create and execute cultivation and stewardship programs in areas of strategic relevance with the objective to advance relationships with key stakeholders and donors and deepen their engagement.

Hybrid role with 2 days onsite and some off hours schedule to attend events.

Job Description

Minimum Qualifications:

  1. Bachelor’s degree AND One (1) year of relevant experience in philanthropy, marketing, communications, or event planning OR ;

High School Diploma or equivalent AND Five (5) years of relevant experience in philanthropy, marketing, communications, or event planning.

Duties and Responsibilities: The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned.

  1. Executes cultivation, stewardship, and special events across the system as needed.

  2. Creates and manages event timelines and budgets, working within the approved budget for each event.

  3. Secures and manages external vendors, including contract and rate negotiations.

  4. Manages executive, physician leadership, and volunteers for each event, working in a highly engaged manner with all stakeholders.

  5. Expresses organization gratitude through creating and managing projects that may include acknowledgment communications, speaking notes for executive leadership and volunteers, donor recognition group upgrades, and surprise and delight thank you projects.

  6. Maintains collaborative, team relationships with peers and colleagues to effectively contribute to the group’s achievement of goals, and to help foster a positive work environment.

  7. Partners with colleagues to implement stewardship plans for donors that may include: special tours and visits, the creation of personalized written acknowledgements from senior leadership, the drafting of program updates, and the creation of comprehensive donor appreciation reports that include both narrative and financial elements.

  8. Coordinates donor recognition signage, including interfacing with vendors, drafting text, and coordinating installation with facilities, as well as leading any naming celebration.

  9. Ensures projects are completed by deadline in accordance with established guidelines and standards.

Physical Requirements:

  1. This is largely a sedentary role, which involves sitting most of the time, but may involve movements such as walking, standing, reaching, ascending/descending stairs, and operating office equipment.

  2. Frequently required to speak, hear, communicate, and exchange information.

  3. Ability to see and read computer displays, read fine print, and/or normal type size print and distinguish letters, numbers and symbols.

  4. Requires manual dexterity using fine hand manipulation to operate computer keyboard.

  3. Ability to handle complex and multiple tasks in a professional and efficient manner, and meet deadlines, either independently or as part of a project team.

  4. Strong sense of initiative with development of new projects that will help deepen current donor relationships and forge new ones.

  5. Teamwork with colleagues is an essential component of this work. must have a demonstrated track record of successful collaboration with other fundraising staff.

  6. Exemplary project management, event planning and organizational skills, evidenced by the ability to set priorities and manage a variety of projects simultaneously.

  7. Demonstrated ability to meet the growth objectives for all areas within purview, to plan strategically for sustainable growth, and to manage multiple assignments and timelines.

  8. Demonstrated ability to work with volunteer leadership at multiple levels.

  9. Ability to communicate clearly with all parties involved in each event, including all relevant hospital departments, vendors and consultants, volunteers and participants.

  10. Proficiency in development CRM preferred.

  11. Proficiency in Microsoft Office applications, such as Word, Outlook, PowerPoint, and Excel.

  12. Professional, courteous demeanor and professional appearance; ability to engage positively and work professionally with physicians, researchers, administrative leaders, donors, prospects and Development Office colleagues; commitment to honor confidentiality.

Job Profile Summary

​This role focuses on managing major program(s) or fundraising activities for the organization. Assists in developing fundraising and solicitation strategies and campaigns. In addition, this role focuses on performing duties to support the fundraising and/or development team. These duties may include: Assisting with administering policies and programs associated with public relations, communications, and special events designed to support development/advancement goals. Coordinating annual giving and memorial gift programs. Tracking and recording all donations, fund balances, and donor prospects. Conducting donor-related research to make informed decisions for communication efforts. Cultivating relationships with donors, maintaining donor database, developing donor communication, participating in special events, and acknowledging gifts. May be responsible for developing and managing planned giving programs. A professional individual contributor role that may direct the work of other lower level professionals or manage processes and programs. The majority of time is spent overseeing the design, implementation or delivery of processes, programs and policies using specialized knowledge and skills typically acquired through advanced education. An experienced level role that applies practical knowledge of job area typically obtained through advanced education and work experience. Works independently with general supervision, problems faced are difficult but typically not complex, and may influence others within the job area through explanation of facts, policies and practices.
