Job description - Administrative Staff Responsible to: Shall be responsible to CEO and Site Director Minimum Qualifications/Requirements: The front office assistant must be knowledgeable of all techniques and procedures performed within our clinics and uphold its standard for excellence. Responsible for competently and efficiently performing all tasks in a friendly, professional, and competent manner. Proficient in typing, office machines, computers and general office duties. Demonstrate knowledge of medical terms and excellent skills in spelling, punctuation and proper grammar. Maintain confidentiality of consumers\' Protected Health Information (PHI) as according to Standards of HIPAA. Competent and tactful in dealing with the clients and other staff members; i.e. telephone and face-to-face contacts. Will work extra hours when business necessitates. Maintain prompt work hours with immediate notification to the Support Services Coordinator or Department Head about absences or tardiness. Specific Duties/Responsibilities: Conduct the check-in process for all clients arriving for their appointments. This includes collecting necessary insurance and demographic information, and completing online insurance verification prior to the scheduled appointments. Prepare a record of deposit for all co-payments daily. Print and organize clients\' Intake Packets. Assist in all areas of support staff in record management, including filing and chart maintenance. Demonstrate a working knowledge of diagnostic and procedure codes relevant to medical billing. Serve as a primary backup in all areas of the front desk and reception. Assist with scanning of clients\' records to the database of agency\'s EMR. Respond to emergency situations as may be presented within the building assist in notifying the emergency team. Participate in the Center\'s continuous quality improvement processes Participate in administrative meetings. Stocking supplies Sorting and sending mail, faxes, and email Answering and routing phone calls Greeting visitors HOURS: (20-30) hours per week Scheduling Working days: Monday, Wednesday, Friday.
