Under direction of, and in collaboration with, the Executive Director, Provider Operations and Strategy (ED/POS), the Manager, Ambulatory Capacity Management is responsible for the centralized management of provider scheduling, templating, and resource utilization, which includes the analysis and optimization of capacity and access. The Manager will be responsible for managing the Ambulatory Capacity Management Team (CMT), which will include Analysts and Coordinators, with primary responsibilities include maintaining provider templates, consulting with practices to maintain Epic build and interpreting analytical data into actionable recommendations to reduce schedule inefficiencies and improve access. The Manager will work closely with Senior Directors of Clinical Services, and will collaborate with EPIC Team Leaders, IT and Business Analyst, and Quality, as well as provide strategic insight and reporting to support analytic, quality, financial, and business planning groups.

Develops and implements a governance structure, and set of policies and procedures to be utilized across CHA, for oversight and management of all issues pertaining to centralized templates management. Set expectations for productivity, performance goals and outcome measures to be achieved by a centralized resource management system; align these goals with the hospital objectives and strategic goals. Serve as the liaison for Amb Access Team with Business Analytics and Web Development teams in IT, to assist with the development of appropriate reports to monitor and manage resources including utilization, capacity and access, trended against targets. Reports should guide action, and be informative to site leadership, department leadership, CHA/CHAPO leadership, and board. In collaboration with site leadership, utilizing objective and accurate data, assist in identifying and utilizing current best practice, industry best practice, and internal innovation to inspire improvement projects in collaboration with the goals of CHA. Work with IT to improve system integration where appropriate. Set goals for improvement of patient access with senior directors, and assisting in gathering, compiling and analyzing information and reports from multiple systems and departments, identifying access barriers related to templates and Epic decision trees, and optimizing the use of other Epic functionality, specifically related to scheduling/access. Lead and manage the capacity resource team of template analysts and template coordinators, responsible for implementation of a critical centralized service, and the day to day management of provider schedules and templates, in compliance to policies and standards, and consistent with Just Culture and HRO leadership expectation, with primary focus on Safety. Set service expectations for team members, and develop training tools that clearly communicate service expectations and provide training to enable high performance. Establish appropriate service and staffing levels, allocating resources efficiently and accordingly to meet expectations. Continuously monitors and evaluates the efficiency and effectiveness of service delivery methods and procedures; assesses and monitors workload, administrative and support systems, and internal reporting relationships; identify opportunities for improvement; direct the implementation of changes. Prepare, present performance and outcomes data to appropriate departments and senior leaders, highlighting best practices and opportunities for improvement. Supports CHAPO ensuring all Change of Status Requests (ie changes to Providers Time and/or work expectations) impacting a provider’s template and schedule, are implemented accurately, in a timely manner. Monitors ramp up and ramp down templates for providers Performs other related duties as assigned or directed. Alerts CHAPO leadership when access is falling behind acceptable standards.

Qualifications:

  • Bachelor’s Degree Required. Graduate Degree in Business Administration, Health Care Administration, management or related discipline preferred.

  • Epic Certification preferred. Knowledge of Epic/Cadence, required.

  • A minimum of five years of experience in hospital or healthcare finance, operations or analysis.

  • Knowledge of detailed patient access and ambulatory patient interface processes, and provider operations.

  • A minimum of five years experience with EHR scheduling workflows, required.

  • High level of experience analyzing workflows processes using process improvement tools or direct experience managing IT systems.

  • Experience managing and improving the performance of complex operational systems, by implementing systems changes in a healthcare setting.

  • Strong ability to speak to, and drive operation key metrics.

  • Demonstrated experience in project management and leadership required to develop and lead a team responsible for implementing and maintaining change.

  • Extensive experience and ability preparing and presenting business plans, reports and analysis in support of performance improvement programs and activities.

  • Expert understanding of EPIC and Cadence (scheduling App w/in Epic EHR).

  • Demonstrated ability to communicate both verbally and in writing to all levels of an organization.

  • Strong interpersonal skills, patient, adaptable and flexible

  • Demonstrated experience in analytical, quantitative, qualitative and problem solving skills.

  • Excellent oral and written cross disciplinary communication skills.

  • Strong experience in evaluating results of programs based on data analysis.

  • Strong analytic skills and time management in meeting deadlines.

  • Expert Level user with analytical applications, including but not limited to Excel/Sheets, Visio/Lucid, and SmartSheets
