State of Massachusetts Public Record Request Assistant - Contractor in Marlborough, Massachusetts

The Massachusetts Department of Public Health’s (DPH) Bureau of Health Care Safety & Quality is seeking a qualified contractor to support the Bureau of Health Care Safety & Quality’s (BHCSQ) Public Records (PRR) Coordinator in organizing, tracking, and responding to public record requests. Reporting directly to the PRR Coordinator, this temporary position works closely with the Department of Public Health’s Records Access Office (RAO) and Office of General Counsel (OGC) to ensure Bureau compliance with Department policies for all public record requests. The Public Record Request Assistant works closely with the Bureau’s Division of Health Care Facility Licensure and Certification, Office of Emergency Medical Services, Division of Quality Improvement, and Determination of Need staff to determine availability of public records when requested, ensure each division’s public records are maintained in accordance with DPH and state policies, and periodically assist in records destruction in accordance with retention schedules. /_Duties and Responsibilities (these duties are a general summary and not all inclusive):_/ * Drafting letters and coordinating the Bureau's response to requests for public records in compliance with the State Public Records Laws as well as DPH policies and procedures. * Maintaining a well-organized, frequently updated spreadsheet to track public records requests, and identifying ways in which to improve organization of PRRs when necessary. * Working with the PRR Coordinator to develop an organized system to ensure requests sent by the RAO and OGC are acknowledged via email in a timely manner, added to a tracking spreadsheet, and worked on in a timely manner in accordance with state and DPH policies. * Developing expertise in identifying appropriate contacts within the Bureau to assist with completing PRRs and communicating with them in a timely manner, while also developing familiarity of Bureau databases and systems to identify where requested data may be available. * Outreach via email and/or phone to public records requestors to determine clarifying information, when necessary. // // /_Preferred Qualifications_:/ * Experience with redacting sensitive information from documents. * Strong interpersonal communications skills. * Writing and editing experience. * Experience with Microsoft Outlook, Word, Excel, and Adobe Pro. _Additional Information:_ * Period of Service: 11/1/24 – 10/31/25 (/Renewable subject to appropriation)/ * Benefits are unavailable with the exception of sick leave accruals. * Contracts are renewable, subject to the Department approval, performance and allocation of funds. * All employees will be paid on a biweekly basis and must have direct deposit. // Location:Position is office-based and located at 67 Forest Street, Marlborough, MA. // // /_About the Massachusetts Department of Public Health (DPH):_/ The mission of the Massachusetts Department of Public Health (DPH) is to prevent illness, injury, and premature death, to assure access to high-quality public health and healthcare services, and to promote wellness and health equity for all people in the Commonwealth.
