Job Profile Summary

​This role focuses on activities related to revenue cycle operations such as billing, collections, and payment processing. In addition, this role focuses on performing the following Patient Access duties: Performs the administrative and financial-clearance duties necessary to facilitate the procurement of clinical services by patients. Collects patient's necessary demographic and financial information from physician offices, acute-care entities, or the patients themselves, schedules services for patients, and handles referrals from primary care doctors to ensure patients are scheduled for recommended appointments/procedures, etc. An organizational related support or service (administrative or clerical) role or a role that focuses on support of daily business activities (e.g., technical, clinical, non-clinical) operating in a “hands on” environment. The majority of time is spent in the delivery of support services or activities, typically under supervision. An entry level role that typically requires little to no prior knowledge or experience, work is routine or follows standard procedures, work is closely supervised, and communicates information that requires little explanation or interpretation.

Job Overview

This position is primarily responsible to assist in the overall daily operation of the Trauma Registry which requires facilitating and organizing the process of case identification, data entry, and data retrieval. Utilizes the medical record and other supporting documents for data entry, obtain follow-up from affiliate hospitals, abstract data for required reporting and data submission to State and Federal Data Registries. Provides Trauma Registry reports and conducts audits as requested. Assists with the preparation for Trauma Service meetings.

Job Description

Minimum Qualifications :

  1. High school diploma or equivalent.

  2. Three (3) years of related experience.

Preferred Qualifications :

  1. Associate’s degree.

  2. Five (5) years of related experience.

Duties and Responsibilities : The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned.

  1. Acts as the concurrent data collector for the Trauma Service.

  2. Facilitates the recording and analysis of injury related patient data, according to the defined Trauma Registry Inclusion Criteria established by the Trauma Service.

  3. Organizes and facilitates case identification, data retrieval and other supporting documents necessary for data entry and abstraction.

  4. Follows up with affiliate hospitals in order to comply with all state and federal legislation concerning the collection, reporting and confidentiality of patient data.

  5. Prepares data for reporting to required State and Federal Data Registries. Provides Trauma Registry Reports as requested.

  6. Runs appropriate reports to capture specific trauma patient populations on a monthly basis to assist in data analysis, performance improvement and to further establish a trauma database that supports and audits other activities of the Trauma Service.

  7. Analyzes data from Trauma Registry identifies and measures any performance improvement activities. Such as but not limited to: Occurrence Screening, Rate based Indicators, Outcome Indicators, Injury Prevention Initiatives, External Comparisons, State required Indicators, and American College of Surgeon indicators.

  8. Develops and maintains a Trauma Registry Policy and Procedure Manual.

  9. Assists during the American College of Surgeons on-site review visit.

  10. Attends the quarterly Trauma Committee Meeting and assist in the organization of the meeting, including, but not limited to chart preparation.

Physical Requirements:

  1. Professional office environment with typical office requirements such as computers, phones, photocopiers, filing cabinets, etc.

  2. This is largely a sedentary role, which involves sitting most of the time, but may involve movements such as walking, standing, reaching, ascending / descending stairs and operate office equipment.

  3. Frequently required to speak, hear, communicate and exchange information.

  4. Able to see and read computers displays, read fine print, and/or normal type size print and distinguish letters, numbers and symbols.

  5. Occasionally lift and/or move up to 25 pounds.

Skills & Abilities:

  1. Excellent organizational skills and able to balance working on multiple tasks and provide timely follow through.

  2. Effective interpersonal and communication skills.

  3. Ability to work under pressure and meet deadlines while working independently.

  4. Ability to communicate verbally, by phone or in person, with third party payers and medical staff.

  5. Ability to give written and oral presentations to staff.

  6. Computer skills and knowledge of Microsoft applications.

  7. Ability to prepare written reports for management.

  8. Working knowledge of ICD-9-CM and CPT coding system, DRG, APG, payment systems, medical terminology, anatomy and physiology.
