State of Massachusetts Office Manager in Mental Health Legal Advisors, Massachusetts

The Mental Health Legal Advisors Committee (MHLAC) seeks an Office Manager tohelpdischarge its mission ofprovidinglegal representation to persons who have or are perceivedtohave mental health concerns. The Office Manager hired will work full-timein personat MHLAC’smainofficescreeningintakes,ensuringofficesystemsand equipmentrunefficientlyandthatadvocatesservingourclientsare administratively supportedwhile workingina hybrid model. Making sure our clients are heard and treated with empathy and professionalism is ourmission. Duties Responsible for administrative functions of the office day-to-day. This includesprocessing new requests forassistancefrom potential clientsthrough our intake systemandmanaginggeneral office widefunctionsby: * Answering our main line promptly and screening the requests for legalassistancefrom potentialclients during live call hours. * Scheduling andmaintainingmeetings,eventsand office resource calendars, including assisting staff with workstation booking. * Filing,handlingand scanning work-related documents including the in-office mail scanning process to be performed daily. * Maintainingphone communications as liaison for TPX telephone systems portal and WebEx application. * Data processing in client database and other platforms used by staff. * Coordinatingoffice suppliespurchasing(experience withCommBuysandotherCommonwealth applications a plus). * Functioningas liaison with buildingregardingkey card access, facilities, maintenance, and emergency exit procedures and commonlyutilizedvendors. * Coordinating the maintenance of physical office space and equipment andmaintainingcurrent furniture and asset inventory (non-IT). * Light cleaning and organization of physical office areas, equipment, and supplies. * Assistingwith orientingnew staffand interns during onboarding process; helpingmaintainand process offboarding for all departing staff,consultantsand interns. Additionally, the Office Manager is expected towork collaboratively with management, operationsand administrationandtheadvocacystaffon projectsby: * With the operations and administrative team, working toidentify, develop and coordinate office processes as needed. * Assistingwith rolling out administrative projects. * Attendingscheduled admin meetings to debrief and plan office operations and administrative projects and tasks. * Coordinating records management. * Assistingwith database management (experience with Salesforce a plus). * In concert with MHLAC staff, engaging in and supporting the administrative needs of our legal work and general advocacy. * Participating in office processes fordeterminingadvocacy priorities and case strategies. * Other functions as assignedin light ofoffice needs. About MHLAC MHLAC is an affiliated state agency of theMassachusettsSupreme Judicial Court, created by the legislature in1973. MHLAC offers free legalassistanceto indigent people with mental health challengesthroughout the Commonwealth. MHLAC’s experienced and talented staff focuses onidentifyingand addressing issues faced by significant numbers of clients in common. Approaches to solvingclient problems depend on the issue itself and the best strategy foraccomplishingresults.Tactics include class-based and targeted individual litigation, as well as legislative,administrative, and public advocacy. MHLAC also serves as a statewide resource on mental health law and policy. It generateslegaland policy materials, testifies on proposed laws and regulations, and has a long history ofprovidingeducational and training programs for public counsel, legal services attorneys, social workers, judges, and thegeneral public.
