Primary Responsibilities:Â Assist with administration of the day to day operations of the apartment leasing business. Â Employee would handle resident support functions as well as apartment rentals, data entry and office organization/record keeping.

Skill Requirements:

·        Minimum of 2 years business experience in an administrative/leasing capacity or related experience

·        Strong organizational skills

·        Strong written and verbal communication skills

·        Excellent word processing and computer skills required.

Duties and Responsibilities

Â

Â

General:

·        Assure that the lease policies and procedures are carried out

·        Be knowledgeable of all leasing documents

·        Rent apartment homes

·        Provide excellent customer service and maintain open lines of communication with fellow

Associates, renters and Board of Trustees

·        Have general knowledge and understanding of building systems and components

·        Follow all policies and procedures of the Company

·        Such other duties and responsibilities as may reasonably be directed and required

·        Update and maintain resident data software

·        Organize office and convert all paper documents to electronic documents

·        Lease apartments

·        Type new leases, process renewal and move out paperwork as needed

·        Answer phones and be familiar with property in order to provide prospect/residents with the resident/prospect with the highest level of customer assistance

·        Assist with invoice processing

·        Input and update maintenance requests and tenant inquiries

Fiscal:

·        Assist with invoice processing

·        Accept and mail rent checks to appropriate lockbox

·        Process move out paperwork and submit check requests for any tenant refunds

Â

Physical:

·        Log work requests  in  Connect  and  generate  work  orders  for maintenance  staff  and/or contractors

·        Tour prospective residents through community and apartment homes

·        Update work order log with notes and action taken by vendors.

·        Close open work orders in system when complete by vendor. Work order is not considered complete unless the vendor has signed original work order and returned to office.

Administration:

·        Greet all renters and visitors coming to the Leasing office

·        Answer all calls and log both incoming and outgoing calls in Connect.

·        Assist all walk-in customers and defer to Property Manager when necessary.

·        Maintain office supplies – prepare order to submit to Community Manager for review and approval.

·        Maintain Association filing –renter filing, correspondence, work orders, accounting documentation etc.

·        Mailings, postings, or mass communication emails, as directed by Property Manager.

·        Open and scan and address all incoming mail.

·        Meet with Property Manager weekly to ensure completion of open action items.

·        Assist with preparation of any leasing documents as directed by Property Manager

·        Update new renter information in Connect

Community Relations / Communication:

·        Provide excellent customer service and maintain open lines of communication with fellow

Associates, renters and Board of Trustees

·        Update and maintain community information in Connect

·        Utilize Connect’s Resident alert/mass communication  feature  in  order  to  keep     renters  apprised  of community activities and important updates Â

·        Provide customer service assistance to renters as needed. Assist with renters’ and prospect

·        Reply and assist with calls and inquires and respond accordingly or direct to the appropriate party.

·        Log all renter inquires in Connect Call Log

·        Ability to travel to various sites, as needed, where applicable.

Physical Requirements

·        Capable of working 8 hours in a fast pace office environment

·        Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted  with  people  of  various  levels  of  education  and capabilities, to include the exchange and receipt of information over the telephone.

·        Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary.

·        Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.

·        Must have finger dexterity for typing/using a keyboard.

Environmental Requirements

·        Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns.

·        Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.
