The RMR Group Administrative Assistant in Newton, Massachusetts

The Administrative Assistant provides high-level support to the Legal team with administrative and clerical duties ranging in levels of complexity and confidentiality. The position requires excellent organizational, prioritization, communication, and interpersonal skills, with the ability to provide timely information and services. A working knowledge of office processes and related computer software and electronic communication tools is essential, as is the ability to communicate with all levels of staff and outside parties.

  • Administrative Tasks and Projects: Assist with printing and word processing of legal and other real estate related documents, coordinate signature packages for various executives, organize board and other meetings including scheduling conference rooms and ordering food and beverage, assist with processing legal invoices, coordinate travel plans and process expense reports.

  • Binders and Loan Documentation: Maintain and update binders with loan documents and abstracts. Maintain director and officer and management agreement binders. Assist with lender lease approvals and other lender requirements.

  • Licensing projects: Maintain tracking spreadsheets for RMR broker licensing across all applicable states. Download and prepare first drafts of application and renewal forms. Gather documents in support of applications. Attend weekly broker licensing meetings, maintain files for Tremont mortgage licensing and transition completed licensing maintenance to Tremont business and accounting departments.

  • Owners’ Associations: Maintain documents and tracking sheet for all owners’ associations. Update document binders and tracking sheet regularly based upon acquisitions and dispositions.

  • Tremont: Assist with loans and projects as necessary for our mortgage REIT.

  • Other projects: Assist with other projects handled by legal and risk management, as they arise.

  • Bachelor’s degree.

  • 3+ years’ experience in an office environment supporting senior staff.

  • Licensed Notary Public a plus; willingness to become licensed required.

  • Experience working in a legal department, law firm, or commercial real estate company is a plus.

  • Strong written and verbal communication skills. Experience with editing and redlining legal documents required.

  • Highly developed computer skills using MS Office applications: Word, Excel, Outlook, PowerPoint, and Internet Explorer. Experience with Adobe Acrobat Pro a plus.

  • Organized and detail-oriented; ability to maintain order and priorities in a fast-paced environment.

  • Initiative, high energy, sound judgment, and the ability to maintain confidentiality.

  • Comfort, confidence, and ability to work well with all levels of staff and outside parties.

  • Excellent follow up skills and commitment to keeping team informed of status of projects and completed tasks.
