DeVivo Bus Sales currently has a full-time Vehicle Sales Administrator opening at our location in Norton, MA. The Vehicle Sales Administrator provides essential administrative support to the vehicles department. This role is responsible for managing documentation, coordinating sales processes, and ensuring the smooth operation of administrative tasks within the department. The Vehicle Sales Administrator plays a crucial role in maintaining accurate records, facilitating communication, and supporting the overall efficiency of the vehicle sales operations.

    Primary Responsibilities:

  • Administrative Support

  • Manage and organize departmental documentation, including sales records, delivery slips, repair orders, invoices, and warranty claims.

  • Ensure all documentation is accurately maintained and easily accessible.

  • Prepare and process various reports, including sales performance, inventory status, and order tracking.

  • Customer and Vendor Coordination

  • Serve as a primary point of contact for customer inquiries related to vehicle sales and administrative matters.

  • Coordinate communication between customers, vendors, suppliers, and internal departments to ensure smooth and timely transactions.

  • Facilitate the resolution of any customer issues or complaints in a professional and timely manner.

  • Inventory and Order Management

  • Assist in maintaining accurate inventory records, including updating the database with new stock and removing sold or retired vehicles.

  • Coordinate with the sales team to ensure accurate and timely processing of vehicle orders.

  • Monitor order status and provide regular updates to relevant stakeholders.

  • Quality Control and Logistics Support

  • Assist in implementing quality control procedures for vehicle deliveries, ensuring all necessary inspections and documentation are completed.

  • Coordinate logistics for vehicle pick-up and delivery, ensuring safe and efficient transportation.

  • Liaise with service teams to ensure timely completion of pre-delivery inspections and necessary repairs.

  • Warranty and Compliance Management

  • Process and manage warranty claims, ensuring all documentation is complete and accurate.

  • Maintain records of warranty claims and communicate with manufacturers and warranty providers as needed.

  • Ensure compliance with company policies, industry standards, and safety regulations in all administrative operations.

    Position Requirements:

  • High school diploma or equivalent.

  • At least 2 years of experience in an administrative role within the automotive or transportation industry.

  • Strong organizational and multitasking abilities.

  • Excellent communication and customer service skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and dealership management software.

  • Attention to detail and accuracy in record-keeping.

  • Ability to work independently and as part of a team.

    Preferred Qualifications:

  • Associate's or bachelor's degree in business administration or related field preferred.

  • Commercial Driver-s License with P (Passenger) endorsement

  • Knowledge of warranty processes and experience in handling warranty claims

  • Experience using Procede Dealership Management Software.
