FM Administrative Assistant I/Receptionist in NORWOOD, Massachusetts

We have an exciting opportunity for a motivated candidate to manage our front desk daily and to perform a variety of administrative and clerical tasks. The Receptionist will be the first point of contact for FM’s Boston office and should possess great communication and organizational skills. We are seeking someone with a pleasant personality, as this is also a customer service role. The ideal candidate should be able to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
Responsibilities
Greet guests and visitors as needed and escort them to appropriate area or person.
Maintain reception area and all common areas in a clean and tidy manner at all times.
Maintain office security by following safety procedures and controlling access via the reception desk with accurate visitor records, issuing, checking, and collecting designated security badges.
Order office supplies and maintain the supply room, keep inventory of stock.
Assist with the scheduling of conference rooms and catering requests.
Assist with the new hire onboarding process.
Maintain the local news page and content up to date and relevant.
Support emergency procedures in a calm and professional manner.
Support Business Administrative Manager with a variety of administrative tasks, including the coordination and planning of local events, fleet car management, first aid training coordination, and other projects as needed.
Provide general administrative support to office business stakeholders and assist with special projects as needed.
Qualifications
High School Diploma or Equivalent; some college preferred
2-3 years of relevant experience in an office environment
Excellent interpersonal skills
Excellent written and verbal communication skills.
Excellent organization and time management skills
Proficient in Microsoft Applications (Outlook, Excel, Word, PowerPoint)
Must possess an energetic and proactive approach with customer service focus and strong ability to help others
Strong attention to detail and follow through
Ability to adapt to a changing environment and handle multiple priorities
Ability to manage multiple projects concurrently, meet deadlines and follow-up in a timely manner
Ability to balance workload during busy/quieter periods

The hiring range for this position is $44,500 to $64,100. The final salary offer will vary based on geographic location, individual education, skills, and experience.
