FM Senior Administrative Assistant in NORWOOD, Massachusetts

We are seeking a highly organized, strategic, and experienced Senior Administrative Assistant. This is a highly visible role that requires exceptional organizational skills, written and interpersonal communication, attention to detail, and the ability to skillfully prioritize deliverables under minimum supervision. This position is responsible for supporting the Client Service Teams in the development, implementation and improvement of services and products related to external client presentation materials, in addition to providing some administrative support to the Client Service department, including meeting scheduling, data tracking, event coordination).

In this position, you will develop knowledge in data and information collection, compilation and analytics, presentation facilitation and project management while gaining understanding of the company’s business.

  • Manage calendars for senior staff, including making travel arrangements

  • Coordinates logistics for meetings, including scheduling, preparation, room setup and catering

  • Manage logistics and planning for meetings of up to 75 attendees and support global operations travel needs. This includes hotel blocks, ground transportation, and dinner events

  • Submit and reconcile expense reports

  • Develop customized client specific presentation materials based upon outlines provided by the Client Service Teams.

  • Track results of internal initiatives and processes

  • Coordinate Client Service marketing events

  • Coordinate with Client Service staff to ensure materials are prepared and submitted in a timely manner and are delivered in the desired format

  • Analyze complex information requests

  • Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources

  • High School diploma or equivalent; some college preferred

  • 5+ years of administrative/secretarial experience supporting a work group or manager, including some executive secretarial experience

  • Strong organizational skills and attention to detail

  • Thorough knowledge of MS Office (Word, Excel, PowerPoint) skills

  • Excellent written and verbal communication skills

  • Strong interpersonal skills.

  • Ability to establish and/or maintain filing systems; significant ability to handle confidential information and material
