Job Description:

Duties/Responsibilities:

  • Responsible for the overall administrative function and technical supervision of anatomic pathology including review and writing of procedures.

  • Responsible for Kronos card entries and approvals for laboratory. This would include proper documentation of hours worked and planned / unplanned earn time, approval and issuance vacation / holiday hours and all over time hours

  • Facilitates and manages the daily operations, including staffing, competencies and other HR related duties

  • Responsible for assuring the financial performance of the cost center. Prepares the annual budget, manages supply and equipment acquisition, monitors expenses, meets budgetary targets, evaluates cost of testing and facilitates billing

  • Input on selection of all pathology equipment and oversees validation

  • Responsible for all surgical pathology and cytology quality metrics, and monitors quality assurance and quality control

  • Maintains a working knowledge of continuous improvement and provides leadership and direction in the application of Lean concepts.

  • Works toward customer and employee satisfaction.

  • Identifies and maintains accurate information in all of the diverse information systems utilized to produce and deliver pathology services.

  • Responsible for compliance for regulatory requirements to include CAP, TJC safety, infection control, privacy, ethical behavior guidelines and billing.

Functions as the pathology physician practice manager in that:

  • With the Chief, develops annual quality assurance program and provides quality metrics, monitors and tracks these metrics for the physician group and individual pathologists including interdepartmental accuracy, sign out turn-around time, productivity, need for outside consultation, and degree of intradepartmental concordance. Reports appropriate data to the quality department.

  • With the pathology chief, develops policies and monitors pathologist compliance to standards (CAP, Medicare etc.)

  • Responsible for developing, testing and maintaining current content (CAP synoptic reporting) of dictation system for pathologists and provides the Cancer Center with documentation necessary from pathology to maintain their certification

  • Monitors professional billing concordance with technical billing and CPT coding standards.

  • Works with professional billing company, including building new systems through their practice transition, Community one and ongoing.

  • Creates, maintains and communicates on-call and daily work schedule for pathologists and tracks pathologists’ vacation dates and total usage, maintaining pathologist calendar

  • Works with pathologists to develop new testing, with associated work flows, billing and procedures with professional component

  • Organizes, assembles agenda, documents and manages action items for the pathologist practice meetings

  • Functions as the primary liaison between the pathologists and BIDMC, other institutions and departments for troubleshooting, development of new processes related to professional billing and practice, workflows and new projects

Education/Experience Required:

  • BA or BS minimum

  • As required by CLIA, CAP and other regulatory and accrediting agencies.

  • Five (5) years experience as a Cytotechnologist

  • Moderate level computer proficiency

  • Track record of cultivating and maintaining strong working relationships

  • Exceptional communication and presentation skills

  • Responds well to rejection/criticism while remaining optimistic and enthusiastic when faced with challenges .

Registration/Certification:

  • CT ASCP or SCT ASCP

Physical/Environmental Requirements

This job requires frequent bending, carrying, pulling, pushing, reaching, standing, stooping, walking and lifting over 10 lbs. There will be occasional need for climbing stairs, lifting in excess of 50 – 100 lbs and sitting. Constant use of hearing, sight and speech. Frequent use of smell and touch. Frequent keyboard and telephone use. Constant concentration and problem solving.
