We are currently seeking a detail-oriented and organized Administrative Assistant to join our team. Position Summary: The Administrative Assistant will play a crucial role in supporting our construction management team. This individual will handle a variety of administrative and clerical tasks to ensure the smooth operation of daily activities. The ideal candidate will have strong organizational skills, the ability to multitask, and ideally, a good understanding of the construction industry. Key Responsibilities: - Provide administrative support across all work areas. - Assist with the preparation and distribution of project documents, reports, and correspondence. - Maintain accurate records of project files, contracts, and other important documents. - Handle incoming and outgoing communications, including phone calls, emails, and mail. - Coordinate schedules for topic specific weekly meetings. Prepare meeting minutes and action items required from these meetings and distribute to participants. - Assist with the preparation and processing of invoices, purchase orders, etc. - Coordinate and organize office activities, including ordering supplies as needed. - Support the team with various office duties, such as filing, data entry, and photocopying. - Assist in organizing company events and meetings. - Maintain a high level of professionalism and confidentiality in all interactions. - Perform other duties as assigned. Qualifications: - High school diploma or equivalent; Associate\'s or Bachelor\'s degree in business administration or a related field is a plus. - Proven experience as an administrative assistant, preferably in the construction industry. - Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive) and preferably Quickbooks. - Excellent organizational and time management skills. - Strong written and verbal communication skills. - Ability to multitask and prioritize tasks effectively. - Attention to detail and a high level of accuracy. - Knowledge of construction terminology and documentation is a plus. - Ability to work independently and as part of a team.
