State of Massachusetts Fiscal Coordinator in Salem, Massachusetts

Fiscal Coordinator Overview:The District Attorney's Office is seeking a highly skilled and detail-oriented individual to fulfill the role of Fiscal Coordinator. This position plays a crucial role in managing the financial operations of our office, ensuring accuracy, compliance, and effective communication across all financial matters. The ideal candidate will have attention to detail, and excellent communication abilities. Responsibilities: 1. Financial Reporting and Analysis: o Prepare and analyze financial reports, including cash flow statements and other relevant financial data. o Conduct reconciliations to identify discrepancies and trends. o Perform thorough reconciliation of financial reports to ensure accuracy and completeness. o Ensure compliance with all accounting standards and policies relevant to the District Attorney's Office. o Assist in the coordination of financial audits, providing necessary documentation and support to auditors. 2. Budget Management: o Assist in the development and monitoring of annual budgets for the District Attorney's Office. o Track expenditures against approved budgets o Assist with annual fiscal Open/Close. 3. Accounting Operations: o Manage encumbrances, accounts payable and accounts receivable processes, ensuring accurate documentation and timely processing of invoices, payments, and reimbursements. o Manage encumbrances, accounts payable and accounts receivable processes, ensuring accurate documentation and reporting for State and Federal Grants. o Reconcile bank statements, credit card statements, and other financial accounts on a regular basis. o Monitor payroll process with HR department and support payroll processing with ad hoc projects, as necessary. o Utilize the MMARS system, the Commonwealth of Massachusetts' accounting system, for financial transactions and reporting. 4. Financial Coordination and Communication: o Serve as a point of contact for financial inquiries and provide support and guidance to vendors and staff members regarding financial matters. o Coordinate travel arrangements for staff and clients TheFiscal Coordinator performs whatever other duties at whatever job-site as may from time to time be assigned to her/him by the District Attorney. Fiscal Coordinator is an employee of the Commonwealth of Massachusetts and serves at the pleasure of the District Attorney. In addition to these above responsibilities, the Fiscal Coordinator is required: * To be familiar with and to follow the provisions of the Essex District Attorney’s Office Personnel Policies, and the Sexual Harassment Protocol, * To participate in trainings relevant to Office functions, * To communicate with or provide timely notification to Office staff, police, and other interested parties, as permitted and/or required by law; * To interact in a respectful and professional manner with the public, judicial and law enforcement personnel, and Office staff * To complete work assignments in a timely manner.
