Position Title: National Account Specialist

Location: South Deerfield, MA

Reports to: Wholesale Operations Manager

Position: The National Account Specialist is responsible for providing order management support for all Wholesale accounts. This position acts as the conduit between the customer, the sales team, and supply chain to ensure we execute in a way that delivers our customer’s expectations. The position is responsible for order management from the point of receipt to shipment, ensuring that customer routing requirements are adhered to, fill rate goals are met, and all necessary parties remain informed through reporting and/or physical communication. The NAS is responsible for independently analyzing customer orders and forming recommendations on cuts, PO extensions, and when to pass the order to the warehouse to be picked.


Reviewing incoming orders for accuracy, including customer specific pricing, promotional discounts, ship dates, terms, routing requirements, etc. before the order is released. Responsible for identifying all EDI/pricing/Item errors and working with the system manager to quickly rectify.

Proactively monitors product availability issues on open orders, works with supply chain to understand challenges and potentially improve results. Communicates potential backorders to customers, internal sales, and operations teams while recommending course of action. Provides the sales team and/or customer cut detail (if applicable) with feedback on future product availability and makes recommendations on cancelling and re-ordering if necessary.

Manages order reservations and prepares orders for pick release to the warehouse management system, while balancing fill rates and ship window requirements. Monitors system changes based on supply updates and negotiates with team if product is available elsewhere.

Reviews all chargebacks from assigned customers weekly, makes recommendations on changes, communications issues and/or changes to sales team, operations, and supply chain.

Keeps abreast of customer routing guide changes, maintain internal customer matrix and ensures new requirements are communicated throughout sales, operations and supply chain to mitigate risk on chargebacks.

Tests program patches related to wholesale systems before they are added to production environment.

May act as backup to Manager – Order Fulfillment on sales/ops meeting with respect to product backorder issues.

Attends periodic customer meetings on forecasting & order management.

Be the expert in all systems that tie to order management, recommend system changes and lead in training peers.

Key Qualifications:

Associates Degree or equivalent experience.

1 – 2 years of operations and/or customer service or closely related experience as part of an ops team or similar environment.

Strong computer skills (Microsoft Office) and overall familiarity with systems.

Ability to juggle multiple tasks and prioritize one’s own work, strong self-motivation.

Attention to detail and strong organizational skills.

Ability to work and think independently or as part of a team.

Comfortable with making recommendations and decisions that can affect the customer.
