Town of Southbridge Admin Assist I/Confident Clerk Town Mgr in Southbridge, Massachusetts

SUMMARY: The Town of Southbridge is seeking to fill a full-time permanent ADMINISTRATIVE ASSISTANT I/CONFIDENTIAL CLERK TO THE TOWN MANAGER who will perform duties for the Town Manager's office including providing moderately complex administrative support, being the accounting point person, and various day-to-day office functions in the Town Manager's office; first shift, 8am-4pm; 37.5 hrs./wk.; $22.14/hr. DUTIES: Responsible for answering the phone and directing calls as necessary; assist residents coming into the office; receive resident complaints and answers questions Act as back-up to post subcommittee meetings; type agendas; complete Town Councilor weekly packets; enter bi-weekly payroll for department Provide assistance to the Town Manager as needed Open and distribute mail to office personnel or other offices as necessary Provide assistance to co-workers as needed Deal with vendors regarding equipment, billing, or service contracts Screen emails submitted to the Town Manager email account and respond accordingly Perform similar or related work as required, directed, or as situation dictates Check accuracy of invoices; research charges; assign account numbers; enter vouchers into the computer system; post totals onto spreadsheets after approval; deliver to Accounting Office Reconcile expenses each quarter with the Town Accountant for all accounts accessible to the Town Manager's Office Act as point of contact for public record requests; maintain accurate records through FOIAdirect software; ensure timely responses for requests Provide Subcommittee and Town Council Meeting minutes by posting records on Town Website Maintain supply inventory; purchase materials as necessary REQUIREMENTS: High School Diploma/GED; Associate Degree in business, accounting science, or related field preferred 1-3 yrs. in office enviroment including customer service or accounting experience; or an equivalent and relevant combination of education, and experience Bilingual (English/Spanish) a plus Must possess valid Driver License Knowledge of MUNIS a plus Must have a strong working knowledge of Microsoft Office programs and the ability to learn and operate other software effectively Must project a professional image through in-person and telephone interaction Must be able to manage multiple tasks with speed and accuracy Must have strong organizational skills and be detailed oriented Must have a high degree of confidentiality due to the nature of the work Must be able to pass CORI check, drug test, and physical Please apply online or forward a Town of Southbridge Employment Application, resume, and cover letter to The Town of Southbridge, Human Resources, 41 Elm Street, Southbridge MA 01550, fax to (508)764-5425 or email to Employment applications may be found at
