Town of Southbridge Executive Assistant to Town Manager in Southbridge, Massachusetts

SUMMARY: The Town of Southbridge is seeking to fill a full-time permanent EXECUTIVE ASSISTANT TO THE TOWN MANAGER who will perform highly responsible senior-level administrative and secretarial services for the Town Manager, Town Council, and Town Manager's office; first shift, 8am-4pm; 37.5 hrs./wk.; $60,134.40/yr. DUTIES: Responsible for all administrative duties relating to the Town Manager's Office; provide necessary support to the Town Manager and Town Council Maintain confidential departmental information Receive telephone calls and visitors Develop office procedures and maintain filing systems Prepare reports and various correspondence Set up meetings; schedule and coordinates appointments; gather/duplicate/distribute information as necessary Prepare and process letters, memoranda, and correspondence of a public and confidential nature Responsible for the scheduling and maintaining of Town Manager's Calendar Prepare Town Council meeting postings, announcements, and reports agendas; process meeting backup information; prepare weekly packets; complete weekly reports Assist with the preparation of Requests for Proposals and bid openings Schedule meetings and appointments; forward follow up correspondence to attendees relative to these events Read and respond to emails for the Town Manager Receive and process inquiries and complaints received, resolving as necessary, or routing to appropriate personnel for resolution Respond to public records requests Assist other departmental staff in the performance of their duties as necessary Conduct research of information and material for the Town Manager, Departments, and the public Prepare and/or provide backup to the preparation of the department's payroll, maintaining and reporting leave Provide support to Town Council requests Perform similar or related work as required, directed or as situation dictates REQUIREMENTS: Associate Degree in Business, Office Administration or related field; 5 yrs. experience in an office setting; or any equivalent combination of education and experience 5 yrs. experience Must possess valid Driver License Must be proficient in the Microsoft Office products Knowledge of MUNIS a plus Must be able to project a professional image through in-person and phone interaction Must be able to handle highly sensitive and confidential information Must be detail-oriented Must have proficient written and oral communication skills Must be able to work independently, and be self-motivated Must be able to pass CORI check, drug test, and physical Please apply online or forward a Town of Southbridge Employment Application, resume, and cover letter to The Town of Southbridge, Human Resources, 41 Elm Street, Southbridge MA 01550, fax to (508)764-5425 or email to hr@southbridgemass.org.
