Baystate Health is seeking a Full-time Real Estate Maintenance Coordinator

What You Will Do:

As the Baystate Real Estate Maintenance Coordinator you will oversee offsite facility environmental services performed by Third Party Vendors to include performance standards, consistency and culture of safety. Coordinate with Vendors on a daily, weekly and monthly service is required.

You will be asked to process Work Orders for offsite facilities occupied by Baystate Health Employees. Ongoing communication with BH Site Administrators and Vendors to insure operational safety related to exterior grounds and interior of the site. Address any issues as they arise and create, update and maintain records offsite services performed.

Additional responsibilities will include:

  • Review Work Order submissions, categorize and prioritize daily and coordinate services with Third Party Vendors. Perform specific work orders and maintenance task to reduce Third Party cost as directed by Manager.

  • Obtain and coordinator security badge and key access for Third Party Vendors, Technicians, Agents, subcontractors and Employees.

  • Drive to offsite locations as directed to perform minor maintenance task in an approved Work Order related and requiring minor carpentry skills, picture hanging, moving small furniture or light equipment, investigating a facility concern, accessing non-public spaces of the building or infrastructure, checking mechanical systems, drain cleaning and clearing.

  • Monitor trash removal, landscaping, janitorial work, snow shoveling, ice control measures.

  • Insure all fire and safety protocols and inspections are being followed and report any concerns to Manager.

  • Create, update and maintain a Vendor contacts, emergency contacts and procedures and record of performance issues and evaluations, policy and procedures. Create reports of Performance, Cost and Savings related to Cleaning Services and Work Orders

  • Communication: Communication with external cleaning contractor and Third Party Vendor as required. Schedules and attends all required meetings with Third Party Vendors and attend Baystate meetings as required.

  • Creates, reviews, and maintains cleaning specifications for each satellite location. Prepares and maintains daily documentation of all inspections and customer/vendor interactions. Establishes controls for receipt and delivery of goods and services.

  • Monitors inventory management reflecting internal and external ‘best practices’ and minimize total supply costs.

  • Provides direct support to customer’s materials-related needs and inquiries.


What You Will Need:

High School Diploma or GED

2 years’ experience is required


Understanding of Microsoft Outlook, Word and Basic Excel is needed for this role
