Springfield Technical Community College Title III Administrative Assistant in Springfield, Massachusetts

Job Description: GENERAL STATEMENT OF DUTIES: Springfield Technical Community College is seeking a full time Title III Administrative Assistant to assist in the daily operation of the Title III Grant. This position is grant funded through the very same grant that this person will work to administer. The Administrative Assistant will perform general administrative assistance and program support for the Title III Director, affiliated faculty, and the initiatives that the grant oversees including the Writing Center and Supplemental Instruction. Job responsibilities include but are not limited to: Scheduling meetings based on staff and room availability Assist with the staffing of the Writing Center (WC), helping to manage the tutor and appointment schedules as well as greet students and answer questions about the center Administrative upkeep of WC and Title III budget (record keeping, inputting of requisitions for employees, programs/events, and travel, reimbursement documents, invoices etc) Oversee the "set up" process of new and returning SI leaders and WC tutors each semester, coordinating with HR, payroll and IT where appropriate Organize and schedule meetings/trainings for students and faculty Maintain supply and equipment inventories and assist with the process of ordering new supplies and equipment when needed Carry out administrative duties such as filing, word processing, copying, binding, scanning etc for WC and Title III programs and projects Maintain the calendar of appointments for the WC Collecting and organizing grant-related data Act as a liaison between the Title III grant and HSI-Stem grant in regards to data to ensure overlapping grant goals are being approached in the most efficient and impactful manner Create a welcoming environment for SI Leaders, Writing Center tutors, faculty and students Schedule times and rooms for supplemental instruction sessions and Writing Center appointments, and communicate schedule to stakeholders Assist in the coordination and recruitment of the supplemental instruction leaders and Writing Center tutors course line-up for each semester Participate in the creation of digital materials related to Supplemental Instruction, Title III projects, and Writing Center initiatives Requirements: Minimum of Associate's Degree required A minimum of 1 year of experience working in a professional office environment with a high degree of customer interaction Excellent oral and written communication skills Strong organizational skills Ability to maintain accurate, detailed and confidential student records Customer service orientation Must be adaptable adaptability Proficient in Microsoft Office suite, including databases and spreadsheets Knowledge of standard office equipment operation Knowledge of clerical and administrative procedures and systems such as filing and record keeping PREFERRED QUALIFICATIONS: Bachelor's Degree preferred Experience in a post-secondary educational institution is preferred Experience working with diverse communities, particular students from under-represented groups. Bilingual Spanish /English is preferred
