Kripalu Center for Yoga and Health Healing Arts Supervisor in Stockbridge, Massachusetts

The Healing Arts Desk Supervisor, part of the Healing Arts leadership team, oversees the front-end interface connecting guests to the Healing Arts Department. This role includes training and supervising the Advisor Team at the reception area and onboarding the Practitioners offering services within the Healing Arts department. Additionally, the Supervisor ensures effective booking techniques and exceptional customer service by following up with all booking agents in the Healing Arts reception area, adhering to department guidelines. ACCOUNTABILITIES - Train and mentor Healing Arts Desk Associates at the reception area. - Supervise and lead the Healing Arts desk team, providing guidance, support, and motivation. - Oversee scheduling of Practitioners including master schedules, data input into Resort Suite, and practitioner callouts and time-off requests - Organize professional development efforts for Practitioner trainings - Always maintain a consistently high standard of holistic customer service. - Oversee all Aladco ordering and report all inventory needs to management for purchasing. - Ensure adequate departmental supply inventory in treatment rooms, closets and with general office supplies. - Ensure that department equipment and computer systems are in working order. Coordinate repairs with appropriate people/departments to resolve issues quickly, efficiently, and with minimal guest impact. - Ensure that the Healing Arts environment meets departmental standards; Coordinate with Housekeeping to maintain department cleanliness standards; Communicate needs to facilities for departmental repairs - Maintain provider daily room schedule logs. - Ensure adequate availability for the guests by managing all time off and coverage requests in accordance with departmental policies. - Maintain advisor staff schedule, keeping scheduling and time-off requests up to date. - Keep advisor policy manuals up to date and practitioner manuals up to date - Maintain accurate records of employee contact information and phone lists. - Check in guests for services, as well as changing and canceling appointments when needed to support the advisory staff. - Responsible for opening and closing the department as needed and performing all opening and closing tasks as needed. - Assist with linen room and dispensary duties as needed. - Supports advisor staff responsibilities as needed. - Respond to service recovery issues as needed. - Other duties as assigned. SCHEDULE: - Some Evening Shifts (12:00 PM - 8:30 PM) - Weekend availability is required CORE COMPETENCIES - Possesses strong core ethics, integrity, and values consistent with Kripalu\'s organizational principles. - Builds effective relationships, identifies internal and external customer expectations, sees issues from their point of view; offers practical, mutually beneficial recommendations, solutions and ideas. - Demonstrates the knowledge and abilities necessary to perform required job elements to established standards. - Learns and adapts quickly in new situations resulting in successful performance. - Accepts responsibility for own actions. - Embraces experiences as learning opportunities. ESSENTIAL SKILLS AND EXPERIENCE - 1-2 years of office administration experience. - 1-2 years of supervisory experience. - Excellent computer skills. Specifically, Microsoft office 2010, excel, word and power point. - Strong communication skills and an ability to work in a fast paced, guest centered environment. - Excellent customer service skills - Excellent organizational skills, with a high level of attention to detail VALUED BUT NON-ESSENTIAL SKILLS AND EXPERIENCE - Knowledge of bodywork and/or other healing modalities a plus. - Prior experience with Resort Suite software a plus.
