Job Description

We are seeking a meticulous and highly organized Engineer to join our Sustaining Engineering team. The ideal candidate will play a crucial role in managing and converting our extensive documentation into digital formats, ensuring the seamless flow of information across all departments and with external vendors. Accuracy of information to support our customer’s needs and Alignment to our document governance. This position may require frequent travel to vendor sites to collect and digitize document separate from providing the control necessary for upkeep and accessibility to our internal partners

Key Responsibilities:

Document Management:

  • Collect, organize, update, and manage technical documents, specifications, drawings, and reports related to product and sustaining engineering projects.

  • Maintain a comprehensive and up-to-date document control system that complies with company standards and regulatory requirements.

  • Ensure proper version control, distribution, and retrieval of documents.

Digitization:

  • Convert physical documents to digital formats, ensuring accuracy and completeness to accessibility and ERP System

  • Implement and maintain electronic document management systems (EDMS) to streamline document workflows.

  • Collaborate with IT and other departments to enhance document management processes and tools.

Vendor Coordination:

  • Travel to vendor/manufacturing sites to collect and digitize necessary documentation.

  • Establish and maintain effective communication channels with vendors to facilitate document exchange and management.

  • Verify the accuracy and completeness of documents received from vendors.

Compliance and Standards:

  • Ensure all documents adhere to company policies, industry standards, and regulatory requirements.

  • Conduct regular audits of the document control system to ensure compliance and identify areas for improvement.

  • Provide training and support to team members on document control processes and best practices.

Support Product and Sustaining Engineering Teams:

  • Assist sustaining engineering teams with document retrieval and management (Sustaining and Maintenance).

  • Provide support during project audits and reviews, ensuring all necessary documentation is readily available.

  • Contribute to the continuous improvement of document control processes and procedures.

Qualifications:

  • Bachelor’s degree in a relevant field (e.g., engineering, information management, business administration) or equivalent experience.

  • Proven experience in document control, preferably within the water industry, pharma or a similar technical field.

  • Proficiency in electronic document management systems (EDMS) and related software. (e.g. Agile, Confluence)

  • Strong organizational skills and attention to detail.

  • Excellent communication and interpersonal skills.

  • Ability to travel frequently to vendor sites.

  • Knowledge of industry standards and regulatory requirements related to document control.

  • Proficiency in Microsoft Office Suite and other relevant software tools.

  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications:

  • Experience with R&D and sustaining engineering projects.

  • Familiarity with water treatment and management technologies.

  • Certification in document control or records management.

50%

Salary range:

$70,500.00 - $126,500.00
