Job Title: Front Desk Associate

Position Overview:

The Front Desk Associate is responsible for providing insight/information & redirection to families who are accessing the shelter. This position will work closely with the Program Director, Managers, case managers and staff to provide support for clients, volunteers, donors, and anyone who enters the building. This position is responsible for assisting with administrative tasks such as answering the phone, greeting people who arrive at the facility, filing, record keeping, as well as routine correspondence and requests for information. This position is the eyes and ears of all staff, clients and volunteers who are in the building.

Essential Duties and Responsibilities:

  • Display strong conflict resolution skills and remain calm during emotional situations.

  • Greet all visitors including staff, volunteers, donors, and participants in the program in a warm professional manner.

  • Screens and refers callers and visitors to the appropriate individual.

  • Perform other clerical duties, such as filing, sorting mail, completing overnight forms, curfew extensions and scheduling transportation.

  • Manage all shelter logs (transportation, sign-in/out, play space, school/camp pick-up/drop-off)

  • Helps other departments with tasks that can be done while up-front.

  • Maintain front lobby rules.

  • Performs other related duties as assigned.

Required Qualifications and Skills:

  • Associate or bachelor’s degree in business administration or related field preferred. Applicable experience will be accepted in leu of formal education.

  • Must have the ability to organize information and enter data accurately. Answer multi-line phone system and transfer calls to appropriate parties.

  • Work well with others

  • Knowledge of basic office functions.

  • Must demonstrate effective communication skills by conveying necessary information accurately and effectively both orally and in writing.

  • Must be detail oriented and have strong organizational skills.

  • Must possess the ability to multitask.

  • Must be empathetic to the needs of a diverse socio-economic population.

  • Bilingual language proficiency preferred (Haitian Creole and English)

Work Authorization: Must be eligible to work in the United States.
