State of Massachusetts Office Support Specialist in Wakefield, Massachusetts
The Board of Registration in Medicine (BORIM) is seeking detail-oriented applicant for the position of Office Support Specialist. The incumbent will review and evaluate incoming physician license applications and supporting documents to ensure compliance with BORIM's licensing requirements. This will also involve performing a comprehensive screening of all documents, comparing information and validating the documentation sources, in addition to collecting documentation from medical schools, postgraduate training programs, licensing boards, examination boards, the federal government and professional agencies. _Duties and Responsibilities (these are a general summary and not all inclusive):_ * Provide superior customer service to licensing applicants and be responsive to the needs of licensing applicants and agency staff. * Ensure that commitments made to licensing applicants are met. Follow up on requests, communicate information to applicants and be sensitive to the need for good communication. * Work effectively both in groups and independently. Readily exchange ideas and information with all team members. Help maintain an enjoyable and productive work environment. * Look for and make continuous improvements in key processes, techniques and procedures. * Review and analyze licensing policies and procedures to identify opportunities to improve processing methods and expedite the licensing process. * Perform accurate data entry, paying attention to detail with the result that work is accurate and contains few errors to revise. * Create and update PDF portfolios for licensing applicants. * Work efficiently and take on extra assignments when necessary. * Be an efficient and productive contributor. Plan and organize work; maintain updated information to assist covering staff members and supervisors. * Provide coverage for the front reception desk and the mail room. _Required Qualifications:_ * Capacity to analyze and determine the applicability of data, to draw conclusions and make appropriate recommendations. * Ability to assemble information in accordance with established procedures. * Means to communicate effectively in oral expression and to deal tactfully with others. * Exercise discretion in handling confidential information and exercise sound judgment. * Capability to follow written and oral instructions, to maintain accurate records, write concisely, express thoughts clearly and develop ideas in logical sequence. _Preferred Qualifications:_ * Ability to multitask effectively with competing priorities and/or high volume of work. _About the Department of Public Health:_ The mission of the Massachusetts Department of Public Health (DPH) is to prevent illness, injury, and premature death, to assure access to high quality public health and health care services, and to promote wellness and health equity for all people in the Commonwealth.
