State of Massachusetts Paralegal Specialist in Wakefield, Massachusetts

The Board of Registration in Medicine (BORIM) under the Massachusetts Department of Public Health (DPH) is seeking an experienced professional, who in the role of a Paralegal Specialist shall assists the General Counsel and other attorneys in carrying out their duties. The incumbent shall coordinate updates in the Board's licensing database, track spreadsheets and adjudicatory proceeding dockets, prepare and send correspondence; compile and transmit Board and committee meeting packets; record Board and committee meeting minutes, and assist with responses to subpoenas and public records. // /_Duties and Responsibilities (These duties and responsibilities are not all inclusive):_/ * //Assist in the assembly of Board’s Division of Law and Policy (DLP) team memos and supporting documents for board meeting packets. * Scan paper-based materials to facilitate access by teleworking attorneys. * Work on specific projects on an as needed basis. * Co-host Webex platform used for board meetings, facilitating appearances, and maintaining confidentiality of closed session. * Communicate board meeting session status. * Transmit documents to board and committee members via the secure file transfer protocol (SFTP). * Log malpractice paid claim reports in the Board’s licensing database and uploads documentation into OnBase and forwards malpractice paid claims that meet criteria under Board policy 19-04 to DRU counsel. * Notify physicians of changes to the physician’s public profile based on malpractice paid claims. * Add links into eLX to documents on board actions posted on board website so that they appear on physician profiles. * Provide back up for logging and triaging statutory reports during DRU counsel’s absence. * Update Board member webpages and BORIM website as directed. * Maintain an understanding of agency procedures and systems relevant to successful performance of job duties. * Maintain a courteous and professional demeanor while working under occasionally stressful working conditions. * Perform general legal support work. /_Required Qualifications:_/ * Familiarity with the laws, rules, policies and procedures, specifications, standards, and guidelines governing agency operations. * Understanding of the principles and practices of record management. * Knowledge of state law governing administrative hearings. * Familiarity with the types and availability of public or private organizations and sources for providing legal services. * Knowledge of the uses and types of agency forms, and use of general office equipment. * Ability to develop and maintain a comprehensive understanding of agency procedures and systems relevant to successful performance of job duties. * Courteous, professional demeanor while working under occasionally stressful working conditions. // // // /_Preferred Qualifications:_/ * Ability to communicate effectively in oral expression. * Skill to deal tactfully with others. * Capacity to exercise discretion in handling confidential information. * Ability to maintain accurate records, * Talent to write concisely, express thoughts clearly and develop ideas in logical sequence. * Capacity to follow written and oral instructions and to exercise sound judgement. Completion of one year of study at a recognized, degree-granting law school may be substituted for the required experience.
