Our client in Waltham, Ma, a start up pharma company is looking for an Executive Assistant to support their C-Level Executives. I

Job Summary:

This position manages the office and provides executive administrative support to the CEO and

the senior leadership team. Requires thorough knowledge of company operations, policies and

procedures. Handles details of a highly confidential and critical nature. Collects and prepares

information for use in discussions / meetings of executive staff and outside individuals.

Prepares presentation materials for board of director meetings. Makes high-level contacts of a

sensitive nature inside and outside the company. Works on problems of diverse scope in which

analysis of data requires evaluation of identifiable factors. Exercises judgment within generally

defined practices and policies in selecting methods and techniques for obtaining solutions In-

depth knowledge of company operations and excellent communications skills are required.


Job Duties:

  • Directly supports CEO in terms of calendar, travel, expenses, coordinating BOD

meetings and generating BOD materials. Also provides support to other senior level

executives as needed.

  • Manages office for day to day operations

  • Handles details of a highly confidential and critical nature.

  • Screen callers, visitors, mail and other interruptions to executive schedules.

  • Maintain phone contacts and calendars, schedule and coordinate internal and external


  • Collect and prepare information for management team reports, legal documents,

confidentiality agreements, contracts and other reports as required.

  • Performs administrative and analytical special projects as required.

  • Ensures that confidentiality and non-compete agreements are in place when required.

  • Conduct research and prepare comparative proposals on capital expenditure purchases,

office supplies.

  • Event planning, coordination and set up as required.

Working hours: 8:00 - 5:00



  • AA degree or BS degree preferred or business training, paralegal, legal secretary

certification or equivalent combination of education.

  • Requires 10-15 years of directly required experience with 5 years supporting C-level


  • Ability to travel 10%.

Work Environment:

The work is performed in a typical office environment with heavy computer duties. Reasonable

functions. The noise level in the work environment is usually quiet.
