PURPOSE AND SCOPE:

Drive Talent Acquisition hiring compliance through interaction with vendors, managers and Human Resources related to Immigration & Mobility. Works within the Talent Acquisition Operations team to manage the Immigration & Mobility functions within FMCNA through case management for all internal Immigration cases, global and domestic mobility cases and working collaboratively with involved employees, mid/senior level leadership, as well as external Legal Counsel to maintain compliance and business alignment for all related policies, programs, and procedures.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Immigration

  • Responsible for managing all FMCNA immigration files; ensuring all files are stored in hard copy as well as electronically, in a secure & confidential filing system.

  • Works collaboratively with external Immigration Legal Counsel to develop, execute and evaluate case strategy and processing to encompass both case initiations and extensions.

  • Responsible for ensuring compliance with internal immigration policies and procedures, continue to evaluate and improve policies and processes to be efficient and cost effective for the business.

  • Conduct intake calls with high-potential candidates during interview stage to determine current visa sponsorship status and to proactively identify any potential risks associated with the onboarding and/or future state of the candidate’s status.

  • Stay abreast of latest immigration developments to serve as subject matter expert and internal consultant regarding critical people issues, change management, case management, and cultural transformations; seek, share, and adopt ideas and best practices for current internal employees as well as potential future talent.

  • Ensures the maintenance of the Immigration Case Tracker, consistently adding new employee information promptly and monitoring existing data through quarterly audits on any data updates to ensure company completeness, data integrity and adherence to company policy.

  • Develops a documentation method for all programs/projects through use of template documents, user guides, presentations, and policy models when developing and executing a new program/process.

  • Develops training materials and designs, implements, and evaluatesrfgt54v educational trainings, as well as provide consultative support to internal stakeholders as the subject matter expert for Immigration Relations.

  • Provide subject matter expertise and ensure company compliance with appropriate regulations/guidelines

  • Manage all invoicing for services rendered by external Counsel and/or immigration vendors.

  • Draft and issue employment verification letters for internal employees, and client letters for contractors upon request

  • Ensure that all requests, questions, or concerns sent to the internal Immigration inbox are responded to within 24 hours of receipt

  • Develop an effective data analytics and reporting infrastructure

Mobility

  • Develop, facilitate and educate on mobility standardization, including packages, communications, templates and metrics

  • Manage external mobility vendor relationships, including reporting, consulting, invoicing and communications

  • Partner with internal resources for administration of mobility cases, including but not limited to standard form creation and maintenance, package selections, package approvals, and exception processing

  • Strategically evolve the mobility program based on internal needs and expectations, as well as industry trends

  • Drive the mission and brand of the mobility program using internal communications, educational materials, organizational education, ensuring that it is aligned to our employee value proposition

  • Facilitate and lead training and information sessions for all levels of the organization, including senior leadership, COEs and employee-wide audiences

  • Collaborate with internal functions as needed, including but not limited to Legal, Compliance, Payroll, Compensation, HRBPs, Accounts Payable, etc.

  • Lead monthly Mobility committee sessions, creating the agenda, involving the appropriate stakeholders, driving program evolution and success metrics

  • Partner with Global Mobility team to ensure consistent policies and procedures for global assignees/transferees

Additional Responsibility

  • Manage compliance with the Federal government by ensuring I-9’s are completed by both the Employee and Employer representative and reverifications are completed.

  • Manager E-Verify cases

  • Mange vendor relations as well as make recommendations for change when applicable.

EDUCATION:

  • Bachelor's degree in Business Administration, HR Management or related field preferred

EXPERIENCE AND REQUIRED SKILLS :

  • 5+ years of experience in an Immigration and/or Mobility role , preferably in a matrixed organization.

  • Must be able to maintain strict confidentiality in dealing with all documents, files and communications

  • Experience with vendor management

  • Expert skills within the Microsoft Office Suite (Word, PowerPoint, Excel) and experience with Applicant Tracking systems.

  • Proven organizational, critical thinking and administrative skills with keen attention to detail

  • Strong interpersonal and customer service skills.

  • High attention to detail with strong organizational skills
