Global Partners LP Manager of Lease Administration in Waltham, Massachusetts

Job Description:

Responsible for all aspects of Lease Administration for the Partnership portfolio of leases, including lessee and lessor arrangements. Work independently and as part of a team to manage the accurate database management of the Partnership\u2019s various lease portfolios by interpreting and abstracting lease terms and key clauses; monitoring and executing key lease dates and ensuring compliance in accordance with departmental policies and company financial controls.

ESSENTIAL FUNCTIONS

  • Accurate and timely interpretation, abstraction and validation of lease information into the Partnership\u2019s new lease management database (CoStar), including reconciliation and processing of all lease related payments and invoices.

  • Creation and analysis of various department and financial reporting reports to proactively manage portfolio for actionable key dates, resolving data integrity issues, and risk mitigation and exposure.

  • Accurate and timely processing of lease related documents and dissemination of pertinent landlord information via CoStar to ensure adherence to business and Partnership SOX obligations.

  • Work directly with accounting, operations and legal teams for reconciliation of lease financials to ensure accurate accounting and resolution of both underpayments and overpayments.

  • Assist with new acquisitions by abstracting and setting up lease documents in CoStar and create opening entries where required.

  • Follow up with Legal, Real Estate, or Accounting regarding lease document status, questions and/or open issues.

  • Assist with monthly database reconciliation for various portfolios.

  • Perform special projects as needed, assist with internal and external audit requests, and provide support for the Legal, Real Estate, and Accounting departments.

  • Assist in performing quality control on the data maintained within CoStar as well as focus on business process changes around CoStar as considered necessary upon implementation of the software.

MINIMUM JOB REQUIREMENTS

  • Undergraduate business-related degree

  • Proficiency with real estate/lease management software preferred. Strong Proficiency with Excel software programs, SharePoint, Word and other Windows applications.

  • This position requires attention to detail, self-motivation, flexibility and excellent organizational and interpersonal skills. Exceptional verbal and written communication skills are required.

  • 2+ years of commercial real estate lease administration experience - preferred, knowledge of standard and non-standard lease components. Ability to interpret commercial lease language.

  • The ideal candidate should have the ability to balance multiple tasks simultaneously.
