POSITION INFORMATION: * Seasonal Office Support Specialist I Forestry John Augustus Hall 5/5/24-10/19/24 (16 weeks) @37.5hrs Monday-Friday; Days Off: Sat & Sun 8:30am-4:30pm (1 opening) *Please note, if you are selected for this position and will be working less than 90 days, the position will automatically revert to a short-term position. About the Bureau of Forest Fire Control and Forestry: The Bureau of Forest Fire Control and Forestry offers programs to promote, protect and enhance healthy and diverse wooded and urban forests throughout our Commonwealth including grant opportunities for urban forestry and volunteer fire assistance, staff assistance to municipalities for fire control, consulting forestry and forest stewardship for private lands, oversight of forest health issues including insect and disease control and storm related response, regulatory guidance on timber harvests as well as forest management and timber sales on state lands. https://www.mass.gov/orgs/bureau-of-forest-fire-control-and-forestry The Department of Conservation and Recreation seeks applicants for the position of Office Support Specialist I. _General Duties of Office Support Specialists for Service Forestry Program:_ The Service Forestry Program Office Support Specialists coordinate the flow of permits for Ch132 and Ch61 regulatory programs, including maintaining accurate records in an access database, paper files, and electronic files. They respond to constituent requests, public records requests, perform initial permit review for completeness, complies reports on district and statewide basis, and support education programming spanning Service Forester districts. This is accomplished in part through direct support of programs and policy, developing relationships with program constituents both internal and external, aiding Service Foresters, in their oversite, and providing program information to staff for reporting needs. Office Support Specialists support events and training programs through coordinating facilities, equipment, advertising and answering questions, as well as attending events of behalf of the Commonwealth. The Office Support Specialist I position will report directly to the Eastern OSSII, who coordinates all administrative duties for the eastern Service Forestry administrative district. https://www.mass.gov/info-details/service-forestry _Specific Duties of the OSSI position:_ This position will include some or all of these specific duties: Files material such as correspondence, reports, applications, etc. in accordance with a prescribed classification system which includes paper files, databases and electronic files. Enter data for Certificates received from Assessors. Follow up with Assessors for any and all discrepancies in filings. Answers telephone calls and provides routine information concerning the Service Forestry Program according to established procedures. Fields and directs received calls to different departments of the Bureau and DCR. Prepares standardized forms such as certified mail receipts, receipts, etc. according to detailed procedures. Receives and distributes incoming mail, memoranda, packages, etc. to appropriate individuals within the assigned unit. Retrieves records from paper and electronic files and database systems handling forestry management plans, Harvester, Forester License, cutting plans, and legal paperwork. Locates and withdraws information from electronic formats through basic query, sort, and filter functions. Works within SharePoint to help maintain backup records for forestry management plans and cutting plans. Operates standard office machines and equipment requiring brief orientation for use such as photocopiers, central console telephone systems, postage meters, folders, shredders, or similar equipment. Reviews forms, lists, documents, correspondence and/or applications for accuracy and completeness. Create and mail large batches of letters, reminders, pamphlets, and informative materials to selected landowners, town departments, committees, etc. Performs related work as assigned. Minimum Entrance Requirements: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
