Middlesex Savings Bank Recruitment Coordinator in Westborough, Massachusetts
Performs a variety of administrative support activities and projects for the Recruitment Department and the senior division officer in conformance with established Bank policies, procedures and objectives. Coordinates multiple aspects of the recruiting and onboarding process; managing internal and external customer interactions in a fast-paced environment. Performs any functions, within scope of authority and expertise, to provide the highest level of service and responsiveness to customers and co-workers.
Provides administrative, operational and project support to the Recruitment and Human Resources team; researching and compiling information, as needed, while maintaining confidentiality at all times.
Welcomes employees, candidates and vendors to the HR department.
Supports the organization’s internship program by registering for local career fairs and coordinating all event logistics and attendee correspondence. May act as an additional resource to represent the Bank at career fairs, as needed.
Supports recruiters with temporary employment requests.
Administers, monitors, and documents pre-employment assessments.
Schedules candidate interviews and phone screens, working directly with internal and external candidates, hiring managers, and recruiters to accommodate preferences and availability while maintaining a high level of customer service, attention to detail, and customer-focused sense of urgency.
May act as an additional resource to phone screen candidates for non-exempt positions.
On Boarding Process: Assist with full cycle on-boarding process, to include initiating and monitoring background checks, preparing offer letters, and ensuring onboarding paperwork is provided to new hires and returned to the Bank in a timely manner.
Manage logistics regarding the New Hire Orientation program. May also act as a facilitator for New Hire Orientation as part of a rotating facilitator schedule.
Maintain recruiting files and manage records for the Human Resources department.
Responsible for vendor management within multiple recruitment softwares.
Verifies HR vendor invoices and compares to monthly general ledger for accuracy of department spending activity.
Assists with OFCCP outreach efforts and documentation.
Responsible for reporting on recruitment metrics and partnering with HR Operations on reporting requirements and functionality.
Creates, analyzes and distributes reports in the company Applicant Tracking System (ATS) as well as any other reports that are needed within the recruiting function.
Refers sales opportunities to other departments or bank affiliates in support of established objectives.
Performs all duties in accordance with prescribed regulations and compliance guidelines.
Ensures full compliance with the Bank’s Information Security Policies and Procedures.
Performs related and unrelated duties as needed.
High School diploma
One to two years administrative experience in a Human Resources Department
Excellent customer focus, interpersonal skills, organization skills and a proven ability to maintain these skills in a fast-paced environment
Must be extremely detail oriented with a proven ability to multitask and effectively communicate both verbally and in writing
Working knowledge of Human Resources policies and procedures
Must have intermediate technology skills including a working knowledge of MS Office; Working knowledge of HRIS and ATS systems are a plus
