Raytheon IDS has a new exciting opportunity located in our Woburn, MA office. We are seeking a proven, high performing administrative professional to fill a key Business Development Executive Administrative Assistant role. This position will report to the Business Development Executive, in support of the Mission Systems and Sensors business area. In this dynamic and fast-paced role you will partner and collaborate with the Business Development and Capture Management team, providing daily business administrative and coordination support, including preparation of presentations and reports, arranging meetings and travel, tracking expenses, calendar management, interfacing with external and internal customers and suppliers and performing other special projects as required. S/he will manage telephonic communications and perform other administrative tasks as necessary to promote effective and efficient operation of the Business Development Team. The successful candidate must have the ability to understand the workflow of the organization and add value by being able to prioritize meeting requests and respond and/ or delegate to messages on behalf of the Business Development Executive. Responsibilities include: Attend calls and meetings; capture actions and maintain action list to ensure follow up Schedule/coordinate classified and unclassified meetings Coordinate materials prior to meetings and ensure pre-briefs are set up prior to, when appropriate Generate charts, tables, memoranda, reports, correspondence and other materials with speed and accuracy Coordinate domestic/complex international travel arrangements and prepare expense reports Coordinate and host customer visits and employee engagement meetings including visitor registration and coordination Process Visitor Authorizations letters (for clearance to be sent) Calendar Management Coordinate Weekly Staff calls for the Business Development team Order office supplies and maintain adequate inventory Manage MSS Business Development calendar Establish follow- up system to ensure deadlines are met Coordinate BD weekly updates Assist in directing work, assigning and outlining tasks Proactively identify ways to enable greater productivity and efficiency in role Establish detailed knowledge of the IDS and Raytheon Leadership Team members and locations Provide general support to the Business Development Directors within the team Ability to work overtime as required Basic Qualifications: 6+years of professional administrative experience supporting a senior leader in a large organization Demonstrated proficiency with Microsoft office suite tools (MS Outlook, MS Word, Power Point, Excel) Experience with calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports. Experience in planning and coordinating complex international travel Possess professional presence and phone/reception skills Possess high level of Professionalism, Discretion and Sensitivity Demonstrated excellent verbal and written communications skills High School Diploma Desired Qualifications: Knowledge of Raytheon's business, Policies and Procedures (Business Travel, Business Courtesies, etc.) Demonstrated experience with handling confidential and non-routine information Demonstrated experience interacting with senior levels of leadership effectively Demonstrated experience handling multiple tasks concurrently and making quick decisions in a fast-paced environment Raytheon Qualified Six Sigma Specialist Demonstrated experience with : APEX Time Recording, Expense Reporting Systems, Internet search engines and map/direction utilities Demonstrated knowledge of Raytheon visitor request/registration systems Demonstrated experience utilizing interpersonal and collaborative skills Demonstrated ability to prioritize work within a multi-tasking environment and stay on top of task deadlines and due dates Demonstrated experience synthesizing data into information and have attention to detail Candidate must have good judgment and take initiative to complete tasks in a self-directing manner Candidate should also demonstrate attention to detail, have the ability to work independently with minimal supervision and adapt to changes in priorities in a fast-paced environment Secret Clearance or ability to obtain within 1 year Associates or Bachelor’s Degree This position requires either a U.S. Person or a Non-U.S. Person who is eligible to obtain any required Export Authorization. 127588
