Marine Biological Laboratory Research Services Coordinator - Temporary in Woods Hole, Massachusetts

Position Summary
The Marine Biological Laboratory (MBL) seeks a detail-oriented, organized, and proactive Research Services Coordinator to support our research service centers. This temporary role is full-time for up to six months starting after the new year and will oversee administrative and fiscal tasks essential for efficient daily operations within our centers. This is an excellent opportunity to gain hands-on experience in research administration within a vibrant and collaborative environment.
Key Responsibilities
Administrative and Fiscal Coordination: Process reimbursement and payment requests, maintain transaction records, prepare monthly billing, and reconcile Purchasing Card (PCard) transactions for research center staff.
Financial Services Interface: Collaborate with Financial Services for prompt invoice processing, new customer account setup, purchase order submissions, and payment requests.
Staff and Visitor Onboarding: Facilitate orientation, registration, access, and logistical arrangements for new research center staff and visitors.
Office Equipment and Supplies Management: Oversee purchasing, organization, and inventory of supplies and equipment in office areas, breakrooms, and kitchens.
Communication Support: Maintain center distribution lists, coordinate mail and package handling, and assist with other communication tasks as required.
Other Duties: Support additional research center operations as needed.
Qualifications
Bachelor’s degree or equivalent combination of education and experience.
Strong administrative background with the ability to work independently and exercise sound judgment.
Proficiency with computer systems, databases (e.g., FileMaker), and software (Microsoft Office Suite, Adobe Acrobat).
Excellent organizational, interpersonal, and communication skills.
Detail-oriented with a high level of accuracy.
Knowledge of budget and accounting procedures.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Physical Requirements
Proficient use of a computer, including keyboard and mouse operations.
