State of Massachusetts Word Processing Operator II in Worcester, Massachusetts

DETAILED STATEMENT OF DUTIES AND RESPONSIBILITIES**

  1. Perform office and administrative procedures, including:

o Perform duties of receptionist for field offices in a professional manner;

o Conduct equipment and supply inventory;

o Maintain and order office supplies;

o Arrange for maintenance of equipment as needed;

o Answer the telephone in a professional manner.

  1. Utilize the agency's computer tracking system (SPIRIT) and entering data as instructed by officers:

o To enter case notes;

o To enter home and work plans;

o To enter supervision fees and send out "Delinquency Notices;

o To enter information listed on "Intake Form";

o To upload photos into SPIRIT at the direction of the supervisor.

o To update Warrants in SPIRIT.

o To print "Caseload Audit Extract Report" for each officer weekly.

o To generate forms, letters, reports and other documents.

o To send field cards to Police electronically and make case note entries to that effect.

  1. Utilize DCJIS systems.

o To provide user support regarding the Parole Board computer tracking systems;

o To enter all BOP's and CJIS checks conducted by officers.

  1. Perform related duties as assigned.

This requisition will remain open until filled; however, first consideration will be given to those applicants that apply within the first 14 days.

MINIMUM ENTRANCE REQUIREMENTS:

Applicants must have at least (A) two years of full-time, or equivalent part-time experience in office work the major duties of which included typing, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. A diploma as evidence of graduation from a commercial or business course of a recognized high school or vocational/technical high school maybe substituted for a maximum of one year of the required experience.

II. A diploma as evidence of graduation from a course other than a commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*

III. A diploma for completion of a program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*

IV. An Associate's or higher degree may be substituted for a maximum of one year of the required experience.*

Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
